As we continue to expand, we are looking for a highly organized and proactive Personal Assistant to support our CEO in managing daily responsibilities and driving the company’s success.
Role Overview
The Personal Assistant to the CEO will serve as a trusted partner, handling a variety of administrative, organizational, and strategic tasks to ensure the CEO’s time is optimized and business goals are achieved. This role requires exceptional multitasking abilities, discretion, and professionalism.
Key Responsibilities
Administrative Support
- Manage the CEO’s calendar, schedule meetings, and coordinate appointments.
- Organize travel arrangements, including flights, accommodations, and itineraries.
- Handle correspondence, including emails, phone calls, and messages, ensuring timely follow-ups.
Project Coordination
- Assist the CEO in planning, executing, and monitoring company projects.
- Prepare and manage documents, reports, presentations, and meeting agendas.
- Follow up on tasks delegated by the CEO to ensure completion within deadlines.
Operational Support
- Maintain an organized filing system for confidential business documents.
- Act as the point of contact between the CEO and employees, clients, or stakeholders.
- Screen and prioritize incoming requests to ensure the CEO’s focus on critical matters.
Event and Meeting Management
- Organize and coordinate internal and external meetings, taking minutes and ensuring actions are tracked.
- Assist with planning company events or CEO-led engagements.
Personal Support
- Provide assistance with personal errands and commitments as needed.
- Manage the CEO’s personal appointments, reminders, and special occasions.
Confidentiality and Discretion
- Handle sensitive information with utmost confidentiality and integrity.
- Build trust with the CEO and act as a reliable sounding board for business matters.
Qualifications
Education:
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
Experience:
- 3+ years experience in a similar role as a Personal Assistant, Executive Assistant, or Office Manager.
- Experience working in a startup or automotive-related industry is a plus.
Skills:
- Exceptional organizational and time-management skills.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration tools (e.g., Zoom, Slack).
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize work in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
