The Executive Assistant to the Managing Director will provide high-level administrative support to ensure the smooth functioning of the office. This role involves managing schedules, coordinating meetings, and facilitating communication within and outside the company. The ideal candidate must be highly organized, proactive, and capable of handling sensitive information with discretion.




  • Manage the Managing Director's calendar, schedule appointments, and coordinate meetings while minimizing conflicts.

  • Prepare and edit correspondence, reports, presentations, and other documents as required.

  • Act as a liaison between the Managing Director and internal/external stakeholders, maintaining professionalism and confidentiality.

  • Coordinate travel arrangements, including itineraries, accommodation, and transportation.

  • Assist in preparing agendas and materials for meetings, take minutes, and follow up on action items to ensure timely completion.

  • Monitor and prioritize communications, responding to inquiries and managing information flow effectively.

  • Conduct research and compile data for reports, as well as assist in special projects as directed by the Managing Director.

  • Assist in the onboarding and training of new team members within the MD's office.

  • Maintain organized filing systems, both physical and electronic, to ensure easy access to necessary information.

  • Manage office supplies and ensure necessary resources are available for daily operations.



Requirements




  • Proven experience as an Executive Assistant or in a similar administrative role, preferably in the oil and gas industry.

  • Exceptional organizational and time-management skills with an ability to prioritize tasks effectively.

  • Strong verbal and written communication skills, with attention to detail.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.

  • Ability to handle sensitive information with discretion and maintain confidentiality.

  • Excellent interpersonal skills with a professional demeanor.

  • Ability to adapt quickly to changing priorities and work effectively under pressure.

  • Bachelor’s degree in Business Administration, Communication, or a related field is preferred.

  • Minimum of 5 years of experience in a similar role supporting senior executives.
