Job Summary
- Responsible for providing high-level support to the MD in all aspects of day-to-day operations, including scheduling, communications, decision-making processes, and project management.
- This position requires high organization, proactivity, detail orientation, excellent communication, and multitasking skills.
Main Accountabilities
Administrative Support:
- Manage the MD’s calendar and schedule, ensuring timely meetings and appointments.
- Coordinate travel arrangements, including flight bookings, accommodations, and transportation.
- Prepare and manage correspondence, including emails, letters, reports, and presentations.
- Draft meeting agendas, take minutes, and follow up on action items.
Project Management:
- Assist in the planning, execution, and follow-up of strategic projects and initiatives.
- Ensure deadlines are met for projects and deliverables assigned by the MD.
- Prepare reports, data analysis, and presentations to aid decision-making.
Communication and Liaison:
- Serve as a liaison between the MD and internal/external stakeholders, maintaining positive relationships.
- Act as the MD’s representative in meetings or communications when required.
- Handle confidential information with discretion and maintain professionalism in all communications.
Research and Reporting:
- Research industry trends, market opportunities, competitors, and relevant topics to inform the MD’s decisions.
- Prepare regular reports, meeting summaries, project status updates, expense reports, research summaries, and any other reports for the MD’s review.
Operational Support:
- Assist in coordinating internal meetings, conferences, and events hosted by the MD.
- Provide support to other senior executives or teams on ad-hoc projects when necessary.
Problem Solving:
- Identify issues and propose solutions proactively to ensure smooth operations.
- Handle time-sensitive matters on behalf of the MD, ensuring that the MD’s focus is on key responsibilities and priorities.
Qualifications
- LLB Degree, Bachelor’s Degree in Business Administration, Management, or a related field.
- 3-5 years proven experience in an administrative or executive assistant role.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional interpersonal skills and the ability to work with a diverse team.
- High level of professionalism and discretion when handling confidential information.
- Strong problem-solving and time-management skills.
- Ability to work independently and take initiative.
