- The Vendor Manager plays a key role in overseeing the sourcing, evaluation, and performance of all vendors involved in event execution.
- This includes managing relationships, ensuring quality service delivery, and negotiating favorable terms to optimize costs.
- The ideal candidate will have 3 – 5 years of experience in the events industry, a deep understanding of the local supplier landscape, and strong negotiation skills.
Responsibilities
Vendor Sourcing & Contracting:
- Identify and onboard trusted vendors for key services: décor, catering, printing, logistics, audio-visual, equipment rental, etc.
- Negotiate contracts and pricing terms to ensure competitive rates and service guarantees
- Maintain and regularly update a vendor database with documentation, contracts, and performance records
- Stay informed on new vendors, products, and service trends relevant to the events industry
Vendor Relationship Management:
- Serve as the primary liaison between the company and all third-party vendors
- Foster long-term relationships with vendors to ensure reliability and preferential service
- Address and resolve disputes or service delivery issues efficiently
- Ensure timely vendor payments by coordinating with Finance and Procurement
Quality Control & Compliance:
- Monitor and enforce vendor adherence to service quality, timelines, and event standards
- Conduct inspections and evaluations during supplier deliveries and event setups
- Ensure vendor compliance with internal policies, safety regulations, and contractual obligations
- Perform regular audits and reviews of vendor performance metrics
Procurement Support & Coordination:
- Collaborate with Event Planners to anticipate material needs for each project
- Coordinate timely procurement and delivery of supplies, rentals, and services for events
- Troubleshoot last-minute vendor issues during event setup and live execution
- Assist with contingency planning for vendor-related risks
Reporting & Cost Management:
- Track vendor costs and compare against budgets to flag variances
- Report on vendor reliability, quality ratings, and performance KPIs
- Identify opportunities for cost savings and improved service through vendor analysis
- Provide insights and recommendations to management for vendor optimization
Requirements
- Bachelor's Degree in Business Administration, Supply Chain, Event Management, or a related field
- 3 – 5 years' experience managing vendors in the events or hospitality industry
- Proven track record of vendor negotiation, performance management, and cost control
- Familiarity with procurement best practices and the Lagos supplier market
- Experience supporting large-scale or high-profile events is a plus.
