Job Summary




  • The Executive Assistant provides high-level administrative support to the Group Managing Director by managing the office, conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. 

  • The role requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.



Essential Job Functions




  • Act as the point of contact between the GMD and internal/external clients

  • Provide high-level calendar management for the GMD, prioritize inquiries and requests; make judgements and recommendations to ensure smooth day-to-day engagements.

  • Arrange and handle all logistics for GMD’s meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; record and circulate meeting minutes among attendees.

  • Undertake a broad variety of administrative tasks and assisting with special projects.

  • Work closely with the GMD to keep him well informed of upcoming appointments, commitments and responsibilities, following up appropriately.

  • Coordinate GMDs communications and undertake the tasks of receiving calls, taking messages, responding to emails, drafting letters and documents, collecting and analyzing information, researching and routing correspondence.

  • Exercise high level of proficiency in collaboration and delegation of duties.

  • Handle requests and queries appropriately.

  • Arrange corporate events to take place outside of work place.

  • Make GMDs travel arrangements and manage itineraries.

  • Take dictation and minutes and accurately enter data

  • Produce reports, presentations and briefs

  • Uphold a strict level of confidentiality.

  • Develop and maintain an organized and efficient documentation and filing system.

  • Undertake other tasks as may be assigned.



Qualifications




  • B.Sc. / HND in Business Administration or any related field.

  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars a must.

  • Minimum of 10 years work experience as an Executive Assistant reporting to directly to Senior Management.

  • Basic ICT skills – (able to use Microsoft Office (Word, PowerPoint, Excel)

  • Excellent verbal and written communication and decision-making skills

  • Exceptional Interpersonal skills

  • Problem Solving Skills

  • Friendly and professional demeanor

  • Attention to details.
