Job Description
Key Responsibilities
Administration:
- Site Documentation: Maintain accurate and up-to-date records of site activities, including: Daily reports, Progress photos, Meeting minutes, Site instructions, Variation orders
- Communication: Coordinate communication between Site staff, Project managers, and Stakeholders (e.g., clients, contractors, suppliers)
- Site Office Management: Ensure the site office is: Organized, Clean, Well-maintained
- Record-Keeping: Maintain accurate records of: Site staff attendance, Training records, Equipment maintenance records
Procurement:
- Procurement of Materials and Services: Source and procure materials, equipment, and services required for the project, including: Construction materials, Equipment rental, Consultancy services
- Vendor Management: Manage vendor relationships, including: Negotiating prices, Ensuring timely delivery of goods and services, Resolving issues with vendors
- Contract Management: Assist in managing contracts with vendors and suppliers, including: Reviewing contract terms and conditions, Ensuring compliance with contract requirements, Coordinating contract renewals and terminations
Salary Voucher and Expense Management:
- Salary Voucher Preparation: Prepare and process salary vouchers for site staff, including calculating salaries, preparing payroll reports, and ensuring timely payment of salaries
- Expense Management: Manage and process expenses related to the project, including: Fuel, Maintenance, and Other operational costs
- Financial Record-Keeping: Maintain accurate financial records, including: Invoices, Receipts, Payment records
Requirements
- The candidates should possess a Bachelor Degree in relevant fields with 3 - 5 years work experience.
