Job Summary




  • To ensure organizational effectiveness through the maintenance and sustainability of operational systems and effective reporting to relevant stakeholders.



Key Responsibilities and Deliverables

Analysis and Reporting:




  • Administer and action a structured schedule for all required reports

  • Review operational reporting needs to ensure quality and accuracy

  • Generate and analyze reports to identify anomalies or exceptions

  • Provide feedback and support for improvements in reporting processes

  • Assist in Time and Motion studies, including data consolidation and analysis

  • Conduct operational data analysis as needed



Operational Systems:




  • Maintain and update relevant databases

  • Facilitate regular meetings to review systems and processes

  • Recommend and communicate system enhancements

  • Work collaboratively with system users and developers to resolve issues

  • Perform system checks prior to deployment

  • Assist with smooth implementation and roll-out of new software

  • Provide user support and training as required

  • Monitor system usage and escalate identified issues appropriately

  • Maintain documentation on assurance checks and training activities

  • Compile and submit audit reports, and implement recommended improvements



Call Cycle Administration:




  • Receive and review call cycle plans from Operations

  • Consider external factors when analyzing call cycle data

  • Integrate route amendments from Operations into call cycle plans

  • Maintain accurate geo-coding data for stores and homes

  • Optimize call cycle routes for efficiency

  • Conduct regular meetings to review and refine call cycle processes

  • Communicate optimized routes to Operations and provide clarifications

  • Enforce route compliance and address stoppages as needed

  • Extract and distribute movement reports from the C-Track system



General Administration:




  • Order equipment as needed

  • Support Operations in managing equipment repairs and maintenance

  • Share up-to-date information on relevant policies, processes, and procedures

  • Conduct scheduled audits and ensure compliance

  • Capture project-specific data with a focus on quality and accuracy



Job Requirements




  • 2-3 years’ experience in a Business Support / analytical environment, preferably within FMCG||Essential / Minimum|0-5 years|

  • Graduate / PG / Certification (Systems, MIS or BI tool)

  • Attention to detail
