Job Purpose
VanRentalsNG seeks a reliable and proactive Transport Officer (Driver) to enhance the coordination of our transportation operations within the Ibadan axis. In addition to managing the organization's own vehicles, this role will now include identifying, sourcing, and coordinating third-party hire vehicles to support our operations when internal capacity is limited.
Key Responsibilities
Vehicle Operation & Transportation
- Collaborate closely with the General Office and logistics teams to identify transportation needs that exceed the internal fleet’s capacity.
- Source, evaluate, and arrange hire of external vehicles when required, ensuring timely, cost-effective, and reliable solutions.
Vendor Management & Coordination
- Research, vet, and establish working partnerships with reputable external vehicle hire providers and independent transport vehicle owners.
- Negotiate hire terms and rates, secure necessary contracts, and maintain a database of approved vendors.
- Coordinate scheduling, handovers, and timetables between external providers, the General Office, and staff users.
Vehicle Maintenance & Safety
- Conduct pre-trip inspections of internal and externally-hired vehicles (fuel, tires, oil, safety equipment).
- Report and oversee timely repairs or replacements for maintenance issues in all vehicles used.
Documentation & Reporting
- Maintain comprehensive logs of both internal and external vehicle usage—including rental agreements, and trip details.
- Document and submit monthly consolidated reports, highlighting fleet utilization, expenditures, and vendor performance.
- Ensure all vehicle documentation (insurance, licenses, hire agreements) is current and compliant for every vehicle used.
Compliance & Safety Standards
- Enforce adherence to local traffic regulations and internal policies in all transportation arrangements.
- Ensure external vehicle hires meet safety and regulatory standards, including insurance, licensing, and vehicle condition.
- Participate in safety briefings/training for internal and external drivers to maintain high safety performance.
Logistics & Program Support
- Assist with loading and unloading materials, and provide transportation support for emergencies or urgent program needs.
- Maintain proactive communication with logistics, program, and general office teams to adapt schedules dynamically.
Customer Service & Communication
- Maintain a professional demeanor when interacting with staff, program participants, and external vehicle providers.
- Promptly communicate delays or changes related to transportation to relevant team members.
Transparency, Compliance & Accountability
- Ensure high standards of transparency and financial accountability in hiring external transport, aligning with our zero-tolerance policy on fraud and corruption.
- Support the Community Feedback and Response Mechanism (CFRM) by incorporating local inputs into transport arrangements across operations.
Accountability
- Promote community engagement and feedback processes for transport-related decisions, including involving programme staff in identifying transport needs.
Key Relationships
- Internal: Monitoring & Evaluation, Admin, Procurement, , Security, Communications, and General Office teams.
- External: Licensed vehicle hire providers, mechanics/vendors (for repair services), and regulatory authorities where necessary.
Qualifications & Experience
Essential:
- At least OND/NCE qualification
- Valid driver’s license and clean driving record.
- Basic ICT proficiency (e.g., MS Office, GPS/route mapping tools).
- Strong organizational, negotiation, and communication skills.
- Attention to detail and accountability in documentation and record-keeping.
Desirable:
- Experience in vendor or third-party transport coordination.
- Basic knowledge of procurement or hiring processes.
- Flexibility in working hours and responsiveness to operational needs.
- Sensitivity to safeguarding, community inclusion, and feedback integration.
