Job Description
Job Objective:
To provide high-level executive and administrative support to the Managing Director and Executive Management Team. This role manages schedules, correspondence, travel, and strategic documentation while serving as the primary liaison between the Executive Office and internal/external stakeholders. The Executive Secretary shall ensure seamless office operations, absolute confidentiality, and the timely execution of executive priorities.
Job Responsibilities:
- Managing the executive's calendar, scheduling appointments, meetings, and business engagements.
- Screening and responding to emails, phone calls, and correspondence, while prioritizing urgent matters.
- Preparing reports, presentations, meeting agendas, minutes, and other business documents.
- Coordinating meetings, following up on action items, and tracking the implementation of management decisions.
- Liaising with internal departments and external stakeholders to facilitate communication and information flow.
- Arranging travel logistics, including flight bookings, accommodation, transportation, and itineraries.
- Monitoring executive tasks, deadlines, and key deliverables to ensure timely completion.
- Handling administrative requests and providing day-to-day support to the Executive Office.
- Managing visitors, official correspondence, and other executive office activities while maintaining professionalism.
- Managing corporate records, policies, contracts, and regulatory documentation, ensuring accurate document control, compliance, information security, and up-to-date statutory records in line with organizational and legal requirements.
Requirements
- Bachelor's Degree in Law (LL.B) or a related field is mandatory.
- Professional certification in Administrative Management, Secretarial Studies, or Executive Assistance is an added advantage.
- Minimum of 3–5 years' experience in an Executive Secretary, Executive Assistant, or Administrative Officer role.
- Experience supporting senior executives or C-suite leaders is highly desirable.
- Strong knowledge of office administration and executive support functions.
