Key Responsibilities
Administrative Support:
- Manage the Director's calendar, appointments, and meeting schedules.
- Organize travel arrangements, accommodation, and itineraries.
- Prepare correspondence, reports, presentations, and meeting agendas.
- Maintain confidential files, records, and documents.
- Handle incoming calls, emails, and other communications.
Sales Support:
- Assist in preparing sales reports, forecasts, and performance summaries.
- Maintain customer databases and sales records.
- Coordinate sales meetings, presentations, and client visits.
- Track sales targets and compile data for management review.
- Support the preparation of proposals, quotations, and contracts.
Marketing Support:
- Assist with planning and coordinating marketing campaigns and events.
- Monitor marketing activities and compile campaign performance reports.
- Coordinate with advertising agencies, vendors, and partners.
- Help prepare marketing materials, brochures, newsletters, and presentations.
- Maintain marketing calendars and project schedules.
Coordination and Communication:
- Serve as a liaison between the Director and sales/marketing departments.
- Coordinate communication with clients, customers, and business partners.
- Follow up on action items arising from meetings.
- Ensure timely distribution of information and reports.
Meeting and Event Management:
- Schedule and coordinate departmental meetings.
- Take minutes and prepare meeting summaries.
- Organize conferences, trade shows, exhibitions, and promotional events.
- Manage logistics for sales and marketing activities.
Data Management and Reporting:
- Collect, analyze, and organize sales and marketing data.
- Prepare periodic reports and dashboards.
- Monitor budgets and track departmental expenses.
- Ensure accurate record-keeping and documentation
Office and Project Administration:
- Manage office supplies and administrative resources.
- Assist with departmental projects and special assignments.
- Monitor deadlines and ensure timely completion of tasks.
- Support process improvements and administrative efficiency.
Requirements
- Bachelor's Degree (B.Sc.) in any Social Science discipline or a related field.
- Minimum of 3 to 5 years of proven experience in an Operations Management, Administrative, or Office Management role.
- Possession of an MBA, M.Sc., or relevant professional certification will be an added advantage.
- The candidate must be from a non-Igbo-speaking tribe.
- Strong knowledge of office administration, operations management, and business support functions.
- Proven ability to coordinate daily operations, manage administrative processes, and ensure organizational efficiency.
- Excellent leadership, organizational, and problem-solving skills.
- Strong communication and interpersonal skills with the ability to interact effectively with clients, management, and staff.
- High level of integrity, professionalism, and ability to maintain confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other business management tools.
- Ability to work under pressure, manage multiple tasks, and meet deadlines with minimal supervision.
- Strong analytical and decision-making skills with attention to detail
