Job Summary




  • Are you a strategic and results-driven administrative professional with a strong background in facilities, fleet, and vendor management?

  • We are seeking an experienced Admin Manager to lead and optimize our administrative operations, ensuring efficient support for business and project activities within a dynamic, project-driven environment.



Key Responsibilities




  • Oversee the day-to-day administration, maintenance, security, and functionality of office facilities.

  • Ensure compliance with Health, Safety, and Environmental (HSE) standards across all administrative operations.

  • Manage office space planning, renovations, infrastructure improvements, and office resources.

  • Lead fleet operations, including vehicle acquisition, maintenance, fueling, tracking, and regulatory compliance.

  • Provide effective logistics support for business operations and project sites.

  • Manage vendor selection, contract negotiation, service-level agreements (SLAs), and vendor performance.

  • Drive cost-saving initiatives through efficient facilities, fleet, and vendor management practices.

  • Implement and maintain document management, archiving, digitization, and records retention systems.

  • Ensure proper management of corporate and regulatory compliance documentation.

  • Oversee office security systems, access controls, and relationships with security service providers.

  • Liaise with government and regulatory agencies to ensure compliance with administrative and facility regulations.

  • Lead and develop the administration team through training, succession planning, and continuous improvement initiatives.

  • Monitor administrative budgets and ensure operational efficiency while maintaining service quality.



Qualification & Requirements




  • Bachelor's Degree in Business Administration, Management, Facilities Management, or a related field.

  • 8–10 years of progressive experience in administration, facilities management, fleet management, and vendor management.

  • Proven experience within EPC, Oil & Gas, Construction, or other project-based environments.

  • Strong track record of managing facilities, logistics, fleets, and vendor contracts.

  • Demonstrated success in negotiating service-level agreements (SLAs) and delivering measurable cost savings.

  • Knowledge of HSE standards, regulatory compliance, and administrative best practices.

  • Proficiency in digital tools for document control, fleet tracking, and vendor management.
