About the Role




  • We are seeking a highly organized, customer-focused, and detail-oriented Booking & Reservations Officer to join our team.

  • The successful candidate will be responsible for managing vehicle reservations, coordinating bookings, maintaining accurate records, and ensuring an excellent customer experience from reservation to vehicle handover.



Key Responsibilities




  • Receive and process vehicle reservation requests via phone, email, website, and walk-in customers.

  • Provide customers with accurate information on vehicle availability, rental rates, terms, and conditions.

  • Confirm, modify, or cancel reservations promptly and accurately.

  • Coordinate with the Fleet Operations team to ensure vehicles are available, clean, and ready for customer pickup.

  • Prepare reservation documentation, rental agreements, and customer records.

  • Monitor vehicle availability and optimize fleet utilization.

  • Maintain accurate reservation records and generate periodic booking reports.

  • Ensure compliance with company policies, rental procedures, and documentation requirements.

  • Work closely with the Finance team to confirm payments and deposits before vehicle release.

  • Identify opportunities to upsell vehicle categories, chauffeurs, insurance options, and additional services.

  • Maintain confidentiality of customer information and company records.



Requirements




  • Bachelor’s degree or Higher National Diploma (HND) in Business Administration, Marketing, Hospitality, or a related field.

  • Minimum of 2 years’ experience in reservations, customer service, logistics, travel, hospitality, or the car rental industry.

  • Excellent verbal and written communication skills.

  • Strong customer service orientation and interpersonal skills.

  • Proficiency in Microsoft Office (Word, Excel, and Outlook).

  • Ability to work under pressure and manage multiple bookings simultaneously.

  • Knowledge of reservation software or fleet management systems is an added advantage.
