We are seeking a highly organized, customer-focused, and detail-oriented Booking & Reservations Officer to join our team.
The successful candidate will be responsible for managing vehicle reservations, coordinating bookings, maintaining accurate records, and ensuring an excellent customer experience from reservation to vehicle handover.
Key Responsibilities
Receive and process vehicle reservation requests via phone, email, website, and walk-in customers.
Provide customers with accurate information on vehicle availability, rental rates, terms, and conditions.
Confirm, modify, or cancel reservations promptly and accurately.
Coordinate with the Fleet Operations team to ensure vehicles are available, clean, and ready for customer pickup.
Prepare reservation documentation, rental agreements, and customer records.
Monitor vehicle availability and optimize fleet utilization.
Maintain accurate reservation records and generate periodic booking reports.
Ensure compliance with company policies, rental procedures, and documentation requirements.
Work closely with the Finance team to confirm payments and deposits before vehicle release.
Identify opportunities to upsell vehicle categories, chauffeurs, insurance options, and additional services.
Maintain confidentiality of customer information and company records.
Requirements
Bachelor’s degree or Higher National Diploma (HND) in Business Administration, Marketing, Hospitality, or a related field.
Minimum of 2 years’ experience in reservations, customer service, logistics, travel, hospitality, or the car rental industry.
Excellent verbal and written communication skills.
Strong customer service orientation and interpersonal skills.
Proficiency in Microsoft Office (Word, Excel, and Outlook).
Ability to work under pressure and manage multiple bookings simultaneously.
Knowledge of reservation software or fleet management systems is an added advantage.
