General Function & Key Objectives



The Supply Chain and Operations Manager is responsible for overseeing and managing the company’s end-to-end supply chain, logistics, warehouse, inventory, and operational activities to ensure efficiency, cost-effectiveness, and timely delivery of products and services.



This role involves coordinating with internal departments, suppliers, freight agents, logistics partners, and distributors to ensure seamless procurement, shipment, delivery, inventory management, and order fulfilment..



Key Responsibilities



Operations Management




  • Review and evaluate supplier quotations to ensure competitive pricing, quality, and favourable commercial terms before purchase orders are raised. 

  • Collaborate with the Finance, Procurement, and Sales teams to evaluate and select the most suitable vendors and suppliers. 

  • Oversee the preparation and processing of purchase orders on Zoho, ensuring accuracy and compliance with approved procedures.  

  • Monitor operational and logistics data to identify bottlenecks, inefficiencies, delays, and opportunities for process improvement. 

  • Communicate and negotiate effectively with suppliers and vendors to secure competitive pricing and favourable terms. 

  • Develop, implement, and monitor operational safety guidelines across supply chain and warehouse activities, including the appropriate use of safety equipment and forklifts. 

  • Coordinate and monitor logistics activities to ensure smooth pick-up, transportation, and delivery of orders. 

  • Monitor and follow up on supplier payment processes in collaboration with the Finance team. 

  • Track and trace orders from suppliers through freight agents to the final delivery point. 

  • Maintain strong, professional, and mutually beneficial relationships with suppliers, freight agents, distributors, and other business partners. 

  • Ensure that all operational activities are conducted in line with company policies, procedures, and business objectives. 



Supply Chain Management




  • Develop, implement, and continuously review the company’s overall supply chain strategy. 

  • Monitor inbound and outbound shipments from suppliers through freight agents to client sites. 

  • Coordinate and monitor order fulfilment and delivery status to ensure timely delivery to clients. 

  • Research and identify cost-effective shipping, freight, and logistics procedures. 

  • Coordinate the request and collection of Goods Received Notes (GRNs) from clients following successful delivery. 

  • Ensure GRN documentation is properly processed and submitted to facilitate supplier and related payments. 

  • Proactively identify potential bottlenecks involving international and local freight agents and implement timely solutions. 

  • Monitor shipment timelines and proactively communicate delays or potential disruptions to relevant stakeholders. 

  • Ensure proper documentation and records are maintained for all shipments, deliveries, and supply chain transactions. 

  • Identify opportunities to improve supply chain efficiency, reduce costs, and enhance service delivery. 



Inventory & Warehouse Management




  • Coordinate and supervise quarterly physical stock counts and ensure accurate inventory records. 

  • Monitor inventory levels and develop appropriate stock re-ordering and replenishment processes. 

  • Ensure effective warehouse management, including proper storage, organization, handling, and movement of inventory. 

  • Monitor stock movement and investigate discrepancies between physical stock and system records. 

  • Ensure proper documentation of goods received, issued, transferred, and dispatched. 

  • Implement measures to minimize stock losses, damages, obsolete inventory, and unnecessary holding costs. 

  • Ensure the warehouse is maintained in a safe, organized, and efficient manner. 



Educational Qualifications




  • Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, Operations Management, Procurement, Transport Management, or a related field

  • A Master’s degree in Supply Chain Management, Business Administration, Operations Management, or a related discipline will be an added advantage. 

  • Professional certification in supply chain, procurement, logistics, or operations management, such as CIPS, CSCP, or similar, is an added advantage. 

  • Minimum of 5–7 years of relevant experience in supply chain, logistics, procurement, warehouse, or operations management, preferably within a trading, engineering, manufacturing, or industrial environment.
