  • Sourcing and Supplier Management: Procurement officers identify potential suppliers, evaluate their reliability, negotiate contracts, and maintain strong vendor relationships to ensure consistent supply of goods and services for the hotel 

  • Purchasing and Cost Control: They acquire food, beverages, linens, cleaning supplies, and equipment at competitive prices while adhering to budget constraints. This includes obtaining multiple quotations, establishing contracts, and monitoring cost of sales to optimize financial performance

  • Inventory and Stock Management: Procurement officers monitor inventory levels, forecast demand, and ensure adequate stock without overstocking. They approve stock discrepancies, maintain minimum and maximum stock levels, and coordinate with departments like the kitchen and housekeeping for daily requirements 

  • Quality Assurance and Compliance: They ensure that all procured items meet quality standards and comply with regulatory requirements. This involves regular supplier performance monitoring, quality checks, and updating price lists and specifications 

  • Strategic Planning and Process Improvement: Procurement officers develop and implement procurement strategies, streamline purchasing processes, and identify opportunities for cost savings and efficiency improvements. They also stay informed about market trends and new products to enhance hotel operations 

  • Coordination with Internal Departments: They work closely with finance, operations, and other hotel departments to align procurement activities with operational needs, budget planning, and service delivery standards 

  • Documentation and Reporting: Maintaining accurate records of purchase orders, contracts, supplier information, and procurement transactions is essential. They also assist in financial analysis, budgeting, and reporting to support management decisions
