We are seeking a detail-oriented and experienced Logistics and Documentation Specialist to join our team. The successful candidate will be responsible for managing the end-to-end logistics process, including warehousing, shipment of goods, booking vessels, dealing with forwarders, customs clearance, and ensuring the accurate and timely preparation of trading documents.
Responsibilities
Logistics Management:
- Coordinate and oversee the shipment of goods, including booking vessels and managing transportation arrangements.
- Collaborate with freight forwarders and carriers to optimize logistics processes and ensure timely delivery.
- Negotiate favorable term contract price with shipping lines
Document Preparation and Management:
- Prepare and review all necessary trading documents, including invoices, packing lists, bills of lading, and certificates of origin.
- Ensure accuracy and compliance with international trade regulations and customer requirements.
Customs Clearance:
- Manage the customs clearance process for import and export shipments.
- Work closely with customs brokers and government agencies to ensure timely and accurate clearance of goods.
Regulatory Compliance:
- Stay updated on changes in international trade regulations, tariffs, and customs procedures.
- Ensure compliance with all relevant laws and regulations governing the movement of goods.
Communication and Coordination:
- Communicate effectively with internal teams, suppliers, and customs authorities to resolve any issues related to documentation and customs clearance.
- Coordinate closely with logistics and transportation partners to facilitate the smooth movement of goods.
Record Keeping:
- Maintain accurate and organized records of all trading documents and logistics-related activities.
- Prepare reports as needed for management and regulatory purposes.
Problem Resolution:
- Identify and address any discrepancies or issues with trading documents and logistics processes promptly.
- Collaborate with relevant stakeholders to resolve customs-related challenges, logistics delays, and other issues.
Qualifications
- Bachelor's degree in Logistics, International Business, or a related field.
- Proven experience (5+ years) in logistics and documentation management, with a focus on international trade.
- In-depth knowledge of customs regulations, documentation requirements, and trade compliance, as well as international trading, settlement terms (like L/C, Collection and T/T) and banking practice.
- Strong attention to detail and accuracy in document preparation.
- Experience in coordinating shipments, booking vessels, and dealing with freight forwarders.
- Excellent communication and problem-solving skills.
- Proficient in using trade management software and Microsoft Office suite.
