JOB SUMMARY


The objective of the Logistics and Procurement Manager role at GHIV Africa is to provide strategic leadership and oversight of the Supply Chain department, ensuring the efficient and effective management of all logistics and procurement activities.


Duties and Responsibilities:


This role is designed to:



  • Coordinate all procurements as per GHIV Africa processes, systems and procedures

  • Lead in the development of Framework Agreements and Contracts

  • Oversee procurement requirements of the program; implement procurement as per approved guidelines, procedures and forms (Purchase Orders, Goods Received Notes)

  • Manage all tender procurements, coordinate and lead in tender evaluations

  • Ensure that purchasing documents are complete and archived in keeping with GHIV Africa procedures

  • Coordinate call for Tender documents

  • Ensure that budgetary lines related to logistics are monitored and observed

  • Supervise the update of price lists and supplier files

  • Monitor stock dispatch, drivers and fleet controls: authorised use of vehicles; key control; logbooks; fuel cards; tools and equipment

  • Enforcing Routine vehicle checks by drivers using a vehicle daily checklist

  • Perform market analysis and supplier sourcing of identified strategic markets.

  • Work with Head of Program to define Procurement strategies

  • Ensure that GHIV Africa staff are fully trained and knowledgeable about the requirements of GHIV Africa Procurement manual

  • Ensures that any donor requirements that affects the logistics procedures are notified to staff in time.

Education and Essential Requirement:



  • Studies: Studies:MSc, B.Sc. in Logistics, Warehouse Management, Purchasing or Supply Chain Management or any related field

  • Experience: 3 years’ relevant experience in working with NGO

  • Language: English is mandatory and one of the local dialects is an added advantage.

  • IT: Good knowledge of MS Office Word, PowerPoint and advance MS Office Excel Knowledge

  • Quick learner, Ability to work autonomously, Excellent organizational skills, Flexibility to meet deadline, Hard worker.
