Job Summary
- The Executive Assistant (Admin) to the Executive Chairman will provide high-level administrative, clerical, and organizational support.
- This role requires a highly organized, discreet, and proactive individual who can handle a variety of tasks efficiently and confidentially.
Responsibilities
- Manage the Executive Chairman's complex calendar, scheduling meetings, appointments, and travel arrangements.
- Prioritize tasks and manage time effectively to ensure a smooth workflow.
- Draft, edit, and proofread correspondence, reports, and presentations.
- Manage incoming and outgoing mail and emails.
- Booking flights, hotels, transportation, and handling itinerary details for business trips or personal travel.
- Prepare travel itineraries and expense reports.
- Handle administrative tasks such as filing paperwork, managing expenses, maintaining records, and handling any other administrative responsibilities as directed.
- Provide administrative support for various projects, including data entry, research, and report generation.
- Handle highly confidential information with the utmost discretion and professionalism.
- Assist in planning and organizing meetings, conferences, and other events.
- Work closely with other team members or departments to ensure that tasks are completed efficiently and deadlines are met.
- Build and maintain strong relationships with internal and external stakeholders, including board members, executives, and clients.
- Represent the Executive Chairman professionally and courteously.
Qualifications and Skills
- Proven experience as an Executive Assistant or a similar role supporting C-suite executives.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented and accurate.
- Discretion and confidentiality.
- Ability to work independently and as part of a team.
