Job Summary




  • The Executive Assistant (Admin) to the Executive Chairman will provide high-level administrative, clerical, and organizational support.

  • This role requires a highly organized, discreet, and proactive individual who can handle a variety of tasks efficiently and confidentially.



Responsibilities




  • Manage the Executive Chairman's complex calendar, scheduling meetings, appointments, and travel arrangements.

  • Prioritize tasks and manage time effectively to ensure a smooth workflow.

  • Draft, edit, and proofread correspondence, reports, and presentations.

  • Manage incoming and outgoing mail and emails.

  • Booking flights, hotels, transportation, and handling itinerary details for business trips or personal travel.

  • Prepare travel itineraries and expense reports.

  • Handle administrative tasks such as filing paperwork, managing expenses, maintaining records, and handling any other administrative responsibilities as directed.

  • Provide administrative support for various projects, including data entry, research, and report generation.

  • Handle highly confidential information with the utmost discretion and professionalism.

  • Assist in planning and organizing meetings, conferences, and other events.

  • Work closely with other team members or departments to ensure that tasks are completed efficiently and deadlines are met.

  • Build and maintain strong relationships with internal and external stakeholders, including board members, executives, and clients.

  • Represent the Executive Chairman professionally and courteously.



Qualifications and Skills




  • Proven experience as an Executive Assistant or a similar role supporting C-suite executives.

  • Strong organizational and time management skills.

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

  • Ability to multitask and prioritize tasks effectively.

  • Detail-oriented and accurate.

  • Discretion and confidentiality.

  • Ability to work independently and as part of a team.

  • Strong problem-solving skills.

  • A high level of emotional intelligence and diplomacy.
