Job Summary




  • The Personal Assistant to the Hospital Administrator provides administrative support to the Hospital Administrator, ensuring the smooth operation of the administrator's office.

  • The PA serves as a liaison between the administrator and various stakeholders, including hospital staff, patients, and external partners.



Key Responsibilities

Administrative Support:




  • Manage the administrator's schedule, including appointments, meetings, and travel arrangements.

  • Coordinate and prepare materials for meetings, presentations, and reports.

  • Maintain accurate and up-to-date records and files.



Communication and Correspondence:




  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls.

  • Respond to routine inquiries and provide information to stakeholders.

  • Prepare and edit reports, presentations, and other documents.



 Liaison and Coordination:




  • Serve as a liaison between the administrator and hospital staff, patients, and external partners.

  • Coordinate with other departments and teams to ensure effective communication and collaboration.

  • Facilitate meetings and events, including logistics and arrangements.



Confidentiality and Discretion:




  • Maintain confidentiality and handle sensitive information with discretion.

  • Ensure that all correspondence and communications are handled in a professional and confidential manner.



Special Projects:




  • Assist with special projects and initiatives, as assigned by the administrator.

  • Conduct research, gather data, and provide analysis to support the administrator's decision-making.



Requirements




  • Education: Bachelor's Degree in Business Administration, Healthcare Administration, or related field.

  • Experience: 3 - 4 years of experience as a personal assistant or administrative professional in a healthcare setting.



Skills:




  • Excellent communication, organizational, and time management skills.

  • Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Strong analytical and problem-solving skills.
