Job Summary:




  • The Head of Operation is responsible for ensuring the efficient operation and maintenance of the physical infrastructure, systems, and equipment to provide a safe, clean, and functional environment for patients, staff, and visitors. This includes managing the hospital facility operations, maintenance, safety, security, and compliance with health, safety, and regulatory standards.



Key Responsibilities:




  • Oversee the day-to-day operations of the facility, including maintenance of physical assets, HVAC, electrical systems, plumbing, elevators, and other critical infrastructure.

  • Ensure compliance with all local, state, and federal regulations related to healthcare facilities.

  • Manage utility services and ensure efficient energy usage and waste management.

  • Supervise and coordinate facility maintenance, including routine inspections and emergency repairs.

  • Ensure that the facility is in compliance with health and safety standards, including those set by OSHA, the Department of Health, and other regulatory bodies.

  • Develop and implement emergency preparedness plans, including fire safety protocols and disaster response plans.

  • Ensure that safety equipment (fire alarms, sprinklers, security systems) is maintained and functional.

  • Develop and manage the annual budget for facilities operations, including capital improvement projects.

  • Monitor and control operational costs, ensuring cost-effective energy use, supplies, and service practices.

  • Prepare reports and presentations related to facilities management for senior leadership.

  • Supervise the facility management team, including maintenance staff, janitorial staff, and contractors.

  • Provide training and development opportunities to staff.

  • Foster a collaborative and efficient work environment, ensuring service levels meet or exceed hospital standards.

  • Negotiate contracts with vendors and service providers (e.g., cleaning, landscaping, security).

  • Manage relationships with external contractors for construction, renovation, or major repairs.

  • Monitor vendor performance to ensure compliance with contract terms.

  • Coordinate facility space planning and optimization for patient care, staff workspaces, and common areas.

  • Oversee any remodelling or expansion projects in the facility, ensuring minimal disruption to operations.

  • Manage internal and external signage to meet regulatory requirements and patient needs.

  • Promote green building practices and sustainability efforts to reduce environmental impacts, such as energy-efficient systems and waste reduction programs.

  • Ensure compliance with sustainability certifications, if applicable.



Requirements

Educational Qualifications:




  • A Bachelor's degree in Facility Management, Engineering, Architecture, Business Administration, or a related field.

  • A Master's degree in Business Administration (MBA), Healthcare Administration, or a related advanced field may be preferred in larger facilities or for senior-level positions.



Certifications or Licenses:




  • Certified Facility Manager (CFM) from the International Facility Management Association (IFMA).

  • Occupational Safety and Health Administration (OSHA) certification.

  • Knowledge of healthcare-specific regulations (e.g., The Joint Commission standards, NFPA codes) is often required.

  • Fire Safety certification or other relevant certifications for emergency preparedness.



Experience:




  • A minimum of 5-7 years of experience in facility management, with at least 3 years in a healthcare or hospital setting.

  • Proven experience in managing large teams and coordinating multiple projects simultaneously.

  • Experience in vendor management, contract negotiation, and facilities budgeting.
