Job Description
Job Summary:
- The Head of Operation is responsible for ensuring the efficient operation and maintenance of the physical infrastructure, systems, and equipment to provide a safe, clean, and functional environment for patients, staff, and visitors. This includes managing the hospital facility operations, maintenance, safety, security, and compliance with health, safety, and regulatory standards.
Key Responsibilities:
- Oversee the day-to-day operations of the facility, including maintenance of physical assets, HVAC, electrical systems, plumbing, elevators, and other critical infrastructure.
- Ensure compliance with all local, state, and federal regulations related to healthcare facilities.
- Manage utility services and ensure efficient energy usage and waste management.
- Supervise and coordinate facility maintenance, including routine inspections and emergency repairs.
- Ensure that the facility is in compliance with health and safety standards, including those set by OSHA, the Department of Health, and other regulatory bodies.
- Develop and implement emergency preparedness plans, including fire safety protocols and disaster response plans.
- Ensure that safety equipment (fire alarms, sprinklers, security systems) is maintained and functional.
- Develop and manage the annual budget for facilities operations, including capital improvement projects.
- Monitor and control operational costs, ensuring cost-effective energy use, supplies, and service practices.
- Prepare reports and presentations related to facilities management for senior leadership.
- Supervise the facility management team, including maintenance staff, janitorial staff, and contractors.
- Provide training and development opportunities to staff.
- Foster a collaborative and efficient work environment, ensuring service levels meet or exceed hospital standards.
- Negotiate contracts with vendors and service providers (e.g., cleaning, landscaping, security).
- Manage relationships with external contractors for construction, renovation, or major repairs.
- Monitor vendor performance to ensure compliance with contract terms.
- Coordinate facility space planning and optimization for patient care, staff workspaces, and common areas.
- Oversee any remodelling or expansion projects in the facility, ensuring minimal disruption to operations.
- Manage internal and external signage to meet regulatory requirements and patient needs.
- Promote green building practices and sustainability efforts to reduce environmental impacts, such as energy-efficient systems and waste reduction programs.
- Ensure compliance with sustainability certifications, if applicable.
Requirements
Educational Qualifications:
- A Bachelor's degree in Facility Management, Engineering, Architecture, Business Administration, or a related field.
- A Master's degree in Business Administration (MBA), Healthcare Administration, or a related advanced field may be preferred in larger facilities or for senior-level positions.
Certifications or Licenses:
- Certified Facility Manager (CFM) from the International Facility Management Association (IFMA).
- Occupational Safety and Health Administration (OSHA) certification.
- Knowledge of healthcare-specific regulations (e.g., The Joint Commission standards, NFPA codes) is often required.
- Fire Safety certification or other relevant certifications for emergency preparedness.
Experience:
- A minimum of 5-7 years of experience in facility management, with at least 3 years in a healthcare or hospital setting.
- Proven experience in managing large teams and coordinating multiple projects simultaneously.
- Experience in vendor management, contract negotiation, and facilities budgeting.
