Job Summary
- The Document Control Officer is responsible for managing and maintaining all project documentation, ensuring compliance with organizational and industry standards.
- This role is crucial in facilitating effective communication, safeguarding document integrity, and supporting construction and oil & gas operations.
Key Responsibilities
- Responsible for project documentation and control in accordance with the document control requirements.
- Ensure all documentation complies with company and industry standards, including ISO, regulatory, and contractual requirements.
- Supporting and maintaining data management and data processing.
- Manage document filing and retrieval system for reports, correspondence, logs, maps, and figures.
- Generate an electronic weekly MDR (Master Deliverable Register) and weekly outstanding user to-do-list record for information to all personnel.
- Performs electronic file backup monthly (backup in project server).
- Handling Construction and QA/QC transmittal for incoming and outgoing, such as JMS (Job Method Statement), JHA (Job Hazard Analysis), FCS (Field Change Sheet), Request for Inspection (RFI), Non-Conformance Report (NCR), etc.
- Record and administer technical drawings NCR/SN, inspection records, specifications progress, vendor documents, final documentations, procedures, etc. Organize, store, and manage project documents (e.g., drawings, contracts, reports, permits).
- Maintain accurate records of document flow and retrieval.
- Ensure the proper versioning and approval of documents.
- Provide advisory/training to Project team if any difficulty in using EDMS.
- Perform regular audits to ensure document accuracy and completeness.
- Act as a liaison between departments to facilitate the exchange of information and documentation.
- Support project teams by providing quick access to required documents.
- Monitor deadlines for document submission, approvals, and reviews.
- Generate regular reports on document status and compliance.
- Use document control software and tools for efficient storage and retrieval.
- Train team members on document control systems and best practices.
- protect sensitive information by enforcing strict access controls.
- Ensure backup and disaster recovery processes are in place for critical documentation.
Qualifications and Skills
- Education: Bachelor’s Degree in business administration, Construction Management, or a related field.
Experience:
- 6+ years in document control, preferably in the construction or oil & gas sector.
- Familiarity with industry standards and regulatory requirements.
Technical Skills:
- Proficiency in document control software (e.g., Aconex, SharePoint, Procore).
- Strong knowledge of MS Office Suite (Word, Excel, PowerPoint).
