Grant Administration




  • Monitor grant budgets to ensure expenses are aligned with donor requirements.

  • Assist in developing budgets for new grant proposals in collaboration with the Finance Lead and program teams.

  • Track grant disbursements and ensure timely utilization of funds within project timelines.



Financial Reporting




  • Prepare and submit accurate financial reports for grants, ensuring compliance with donor-specific requirements and timelines.

  • Reconcile grant accounts and maintain comprehensive financial documentation for auditing purposes.

  • Provide variance analysis and budget forecasts to Finance Manager and program leads.

  • Compliance and Audit Preparation

  • Ensure grant expenditures adhere to internal policies and donor guidelines.

  • Support the preparation and coordination of donor audits and financial reviews.

  • Maintain up-to-date knowledge of donor regulations and communicate changes to the finance and program teams.



Internal Controls and Documentation




  • Maintain accurate and well-organized financial records for all grant-related activities.

  • Implement financial controls to prevent misuse of grant funds.

  • Review supporting documentation for grant-related expenses, such as invoices, receipts, and payment authorizations.

  • Collaboration and Communication

  • Liaise with program teams to ensure alignment between financial and programmatic objectives.

  • Provide guidance to staff on financial processes and compliance requirements related to grants.

  • Assist in resolving queries from donors, auditors, and internal stakeholders regarding grant finances.



Qualifications




  • Bachelor’s degree in accounting, finance, economics, or a related field.

  • Professional certification (e.g., ICAN, ACCA, CPA) or progress toward certification is highly desirable.

  • Minimum of 1–2 years of experience in financial management, grant management, or a related role.

  • Proficiency in accounting software and Microsoft Office Suite, particularly Excel.

  • Strong knowledge of donor regulations (e.g., USAID, BMGF)
