- Preparation of response to pre-qualification invitations
- Preparation of response to tender invitations
- Preparation of quotations and proposals
- Material/Services price sourcing
- Tender/Proposal collation
- Collate documents for company registration as contractors to other organisations
- Manage/maintain all current and historical tender activities including exercises where no contract is ultimately awarded.
- Analyse RFT & RFQs to determine company’s capability, competence as well as management’s interest.
- Prepare precalculation Sheet for finance dept approval before it sent to the client.
- Liaise with operations and systems engineering depts. for installation costs and technical inputs respectively for tenders.
- Document all RFQs/ITT documents and file accordingly.
- Register all enquiries in the Bid Register with unique numbers.
- Assist in pre-contract activities such as negotiation, reviews, and discounts and make all documents available to ordering desk.
- Post-award activities such as project monitoring, progress evaluation/analysis, PIP performance against project terms, profitability analysis.
- Carry out other duties assigned by Line manager from time to time
Key Performance Indicators
Key Result Area 1 - KPI:
- Understanding the requirements of the customers RFP (Email confirmation to Line Managers within 48hrs of receipt)
- Timely and accurate Response to customers enquiries, quotations and request on/before Submission deadline
- Keep accurate records of all official documents. ( including regular update of the Supplier database)
- Obtaining approvals for Quotations, Bids and Enquiries.
Key Result Area 2 - KPI:
- Post Award Analysis and Project Implementation Monitoring
- Competitive Sourcing (Evidence of Price & Supplier Research)
- Ability to Execute (Get Result)
- Demonstration of Initiative.

Job Specification
- Education: Relevant First Degree
- Experience: Minimum 5 years in a retail environment (preferably Health Pl).
