Job Summary:



The Finance and Admin Officer will be responsible for managing the finance and administrative functions of the organization. This role involves ensuring accurate financial record-keeping, compliance with financial policies and efficient administrative operations.



Key responsibilities




  • Maintain accurate ad up-to-date financial records, including accounts payable and receivable, payroll and general ledger entries.

  • Prepare monthly, quarterly and annual reports for internal and external stakeholders

  • Assist in the preparation of budgets and financial forecasts.

  • Ensure compliance with organizational financial policies and procedures as well as donor requirements.

  • Manage cash flow and ensure timely processing of payments and receipts.

  • Conduct regular financial reconciliations and audits to ensure accuracy and integrity of financial data.

  • Oversee office operations, including procurement of office supplies, equipment and services.

  • Manage administrative staff and ensure efficient office management practices.

  • Maintain and update organizational records, including contracts, agreements, and personnel files.

  • Coordinate logistics for meetings, workshops and events.

  • Ensure compliance with organizational policies and procedures, including health safety regulations.

  • Assist in the recruitment, on-boarding, and training of new staff.

  • Maintain employee records and ensure compliance with labor laws and organizational policies.

  • Manage employee benefits and payroll processing.

  • Support performance management processes ad employee development initiatives.

  • Ensure compliance with local laws and regulations, as well as donor requirements.

  • Identify and mitigate financial and administrative risks.

  • Implement and monitor Internal control to safeguard organizational assets.

  • Prepare and submit financial reports to donors, government agencies and other stakeholders as required.

  • Communicate financial and administrative information to senior management and other relevant parties.

  • Provides support to external audits and evaluations.
