Duties and Responsibilities

Customer service & Communication:




  • Welcome customers and check in members professionally.

  • Attend to all calls, messages, and direct messages in a timely manner.

  • Explain gym packages to new members and assist them in becoming familiar with the facility.

  • Provide excellent customer service and resolve inquiries effectively.

  • Gather customer feedback and escalate concerns to line manager.

  • Promote ongoing programs, classes, and special offers to members.

  • Upsell memberships, personal training packages, and wellness product



Membership & Records Management:




  • Update member records with new contact information and payment details.

  • Maintain accurate membership records and process fees as directed by Management.

  • Process card/ transfer payments for gym/facility services rendered.

  • Ensure up to date records with client and non entry for expired memberships



Access Control & Security:




  • Ensure accurate and adequate access control for all members and visitors.

  • Act as the “eyes and ears” of the facility by reporting suspicious activities or safety concerns promptly



Administrative & Clerical Duties:




  • Handle general front desk operations including sorting incoming mail, filing, data entry, and dispatching packages.

  • Ensure proper organization of front office operations and maintain tidy, clean common areas.

  • Manage supply inventory and monitor facility equipment needs.



Marketing Support & Social - Media:




  • Create engaging content and manage the facility’s social media platforms to promote services and events.

  • Support promotional campaigns and community outreach initiatives.

  • Collaborate with trainers and management to highlight success stories on social media.



Health and Safety:




  • Enforce gym safety rules and ensure members use equipment responsibly.

  • Monitor compliance with hygiene standards (sanitizing equipment, enforcing mask or cleanliness policies if applicable).

  • Support emergency procedures, including first aid response and evacuation protocols.

  • Ensure that front desk is tidy at all times.



Professional Development:




  • Participate in staff training sessions to stay updated on customer service, safety, and fitness trends.

  • Maintain knowledge of gym services, schedules, and promotions to answer member inquiries effectively.
