Job Summary
The Accountant/Secretary is responsible for managing the school's financial records while providing administrative and secretarial support to ensure the smooth day-to-day operation of Sovereign Lord Academy. The role requires a highly organized, trustworthy, and detail-oriented individual who can maintain financial accuracy, handle confidential information, and provide excellent customer service to parents, staff, and visitors.
Key Responsibilities
Accounting Duties
- Maintain accurate financial records and books of accounts.
- Process school fees and other payments, issue receipts, and maintain payment records.
- Prepare daily, weekly, monthly, and termly financial reports.
- Manage petty cash and reconcile cash transactions.
- Prepare bank deposits and perform bank reconciliations.
- Process staff salaries and maintain payroll records.
- Monitor outstanding school fees and follow up with parents on overdue payments.
- Prepare annual budgets and assist management with financial planning.
- Ensure compliance with relevant financial policies, tax regulations, and statutory obligations.
- Maintain proper filing of financial documents for audit purposes.
- Assist external auditors during financial audits.
Secretarial and Administrative Duties
- Serve as the first point of contact for parents, visitors, and other stakeholders.
- Receive and direct telephone calls, emails, and correspondence professionally.
- Maintain confidential school records and administrative files.
- Prepare letters, reports, meeting agendas, and minutes.
- Schedule appointments and meetings for school management.
- Manage office supplies and ensure adequate stock levels.
- Support student admissions by maintaining accurate records and documentation.
- Coordinate communication between management, staff, parents, and external agencies.
- Assist in organizing school events, meetings, and official functions.
- Ensure proper documentation and filing of staff and student records.
Qualifications
- Bachelor's Degree, HND/OND in Accounting, Finance, Business Administration, or a related discipline.
- Minimum of 2–3 years' experience in accounting and administrative roles, preferably in an educational institution.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software.
- Strong understanding of bookkeeping and financial reporting.
