Reports to: Management / Executive Director

Department: Communications / Marketing

Role Level: Officer

About the Role

We are looking for a highly proactive, creative and responsive Communications & Social Media Officer to manage the school’s internal and external communications across all major channels.

This is not just a social media posting role. The person will be responsible for ensuring that parents, staff, management, board members and the wider public receive the right information, through the right channels, at the right time.

The role combines communication, content creation, social media, newsletters, parent engagement, event communication, lead follow-up and communication coordination across the school.

Key Responsibilities

Communications Management

  • Manage day-to-day communication across all school communication channels.

  • Ensure important information reaches parents, staff, management and other stakeholders promptly.

  • Manage parent communication across WhatsApp channels, Microsoft Teams, MyStar Workplace, email and other approved platforms.

  • Prepare and publish school announcements, notices, reminders and updates.

  • Coordinate and publish the school newsletter consistently and on schedule.

  • Gather updates from campuses and departments for newsletters and communication materials.

  • Maintain the school communication calendar.

  • Ensure school events, activities, deadlines, admissions activities and important dates are properly communicated.

Social Media & Content

  • Manage the school’s social media platforms and maintain consistent activity across them.

  • Create engaging social media content, captions, stories, short-form content and campaigns.

  • Work with campuses to obtain photos, videos, stories and updates for communication and social media.

  • Ensure school activities and achievements are properly documented and promoted.

  • Develop creative communication ideas rather than waiting to be told what to post.

  • Monitor messages, comments, enquiries and responses across communication platforms.

  • Ensure the school remains active, visible and professionally represented online.

Engagement, Enquiries & Lead Follow-Up

  • Ensure parent and public enquiries are acknowledged and routed appropriately.

  • Support admissions and marketing by following up communication leads and ensuring enquiries do not go cold.

  • Track leads generated from social media and communication campaigns.

  • Work closely with Admissions, Growth, Academics, Operations and campus teams.

  • Promote school programmes, clubs, events, admissions, achievements and student activities.

Brand & Communication Coordination

  • Ensure branding, tone and messaging remain consistent across all campuses and platforms.

  • Maintain communication records and organized content libraries.

  • Update communication pages, calendars and relevant sections within MyStar Workplace.

  • Support internal communication between management, staff and campuses.

  • Prepare communication for management and board-level announcements where required.

  • Coordinate communication before, during and after school events.

  • Ensure information does not remain trapped with one department or campus.

Content Planning, Performance & Improvement

  • Manage the full daily social media workflow, including content planning, creation, caption writing, posting and scheduling.

  • Manage stories, short-form updates, engagement, responses and coordination of photo and video collection.

  • Follow up with campuses for content and ensure activities are consistently documented.

  • Track social media and communication performance and identify content opportunities.

  • Monitor what is working across communication channels and recommend improvements.

  • Produce simple reports on social media activity, communication reach, engagement and leads.

What We Are Looking For

  • Extremely responsive.

  • Creative.

  • Proactive.

  • A strong writer.

  • Very organized.

  • Comfortable communicating with different audiences.

  • Good at following up with people.

  • Able to work independently.

  • Comfortable managing multiple channels simultaneously.

  • Able to work quickly without producing careless work.

  • Comfortable with social media trends and digital content.

  • Able to generate ideas without waiting for constant instructions.

  • Confident using Canva or similar design tools.

  • Comfortable using Microsoft Teams, Outlook, Microsoft 365 and digital communication platforms.

  • Comfortable learning and using MyStar Workplace.

  • Familiar with AI tools for writing, content development and productivity.

  • Able to work with photographers, videographers, designers and campus teams where necessary.

Important

We are not looking for someone who only posts content after being instructed.

We need someone who actively asks:

  • What is happening in the school today?

  • What should parents know?

  • What should staff know?

  • What can we promote?

  • What content can we create?

  • What enquiries need follow-up?

  • What deadlines are approaching?

  • What communication has not yet gone out?

  • What information needs to move from one department to another?

The officer must actively find the communication work and complete it.

What Success Looks Like

Success means:

  • Parents are properly informed.

  • Staff receive important communication on time.

  • Newsletters are published consistently.

  • Events and important dates are communicated early.

  • Social media remains active and engaging.

  • Leads are followed up.

  • School activities are consistently documented.

  • Communication across campuses is coordinated.

  • Management is not constantly chasing the Communications Officer to send basic updates.

  • There are fewer complaints that people “did not know.”

  • The school maintains a strong, professional and active public presence.

The Communications & Social Media Officer should make communication easier for the organization, not become another communication problem that management has to manage
