Job Description



  • Slum2School Africa seeks an experienced Finance and Administrative Manager with proven experience in designing, operating and upholdingfinancial standards in accordance with international best practices.

  • The ideal candidate must be experienced indistributing the financial resources of the organization, and be responsible for budget planning, supporting the executive management team by offering insights and financial advice that will allow them to make the best business decisions for the company and effectively reporting to diverse stakeholders.

  • The successful candidate will play an important part in ensuring that Slum2School’s finances are managed effectively and in line with internal policies and statutory requirements.


Core Responsibilities



  • Ensure that adequate financial management procedures and systems are in place, and that all financial standards are adhered to in accordance with international best practice.

  • Support the Executive Director and board finance committee with the implementation of financial policies and control procedures.

  • Work closely with the Executive Director, Heads of department and Project/Programme Managers on administrative, financial and budgetary issues.

  • Ensure that developments of budgets for new proposals and project extensions are realistic and promptly prepared.

  • Maintain overall budget control and monitor daily cash flows and expenditures.

  • Provide updated analysis and reports of the financial situation for the projects, budgets and budget lines.

  • Prepare donor reports for submission to the Executive Director and donors.

  • Complete cash books and scanning of expenditure vouchers within deadlines.

  • Supervise, manage and support Finance, Logistic and HR staff from regional – offices.


Logistics / Procurement:



  • Assist in building the capacity of field based logistics & procurement staff on policies and procedures.

  • Assist all staff in understanding procurement procedures and formats.

  • Develop framework agreements with suppliers.

  • Oversee the development of vendor lists and supplier registration.

  • Assist in preparation of procurement plans and requests for current grants.

  • Oversee the Logistics & Procurement staff’s daily tasks, ensuring that all procurements are carried out in line with Slum2School’s procurement procedures.

  • Ensure the Logistics & Procurement team are keeping proper records.

  • Oversee the proper usage of daily and weekly car movement tracking sheets and accompanying procedures for vehicle requests.

  • Implement daily, weekly, and monthly checklists for assets and inventory.

  • Assist in the design and planning of storage solutions at field locations, including warehouses as needed.

  • Assist in the disposal of assets as needed.


IT:



  • Oversee the IT function, providing support and direction to the IT System Administrator.


Grant Management:



  • Ensure compliance with relevant donor requirements.

  • Ensure that expenditure is properly documented, is reasonable, is budgeted for, and conforms to donor principles and guidelines.

  • Ensure best use of resources by managing the preparation of budgets and monitoring project expenses.

  • Support the Executive Director in compliance with Grants terms, fulfillment of anticipated grant supported activities, and submission of timely financial reports.


About You

To be successful in this role you must have:



  • Candidates should possess a Bachelor's / Master's Degree in Management, Communications, or a related field

  • At least 4 years of practical experience in a managerial or senior financial/administrative management position preferably in a reputable NGO (preferred but not exclusive).

  • A proven experience in managing large budgets (over 500,000 USD a year).

  • A strong experience in working with national partners, local/government authorities

  • Full proficiency in spoken and written English.
