Job Overview:


The Business Manager is responsible for the smooth and efficient operation of the veterinary practice, including managing staff, financial operations, client relations, and ensuring compliance with veterinary regulations. The role requires strong leadership, organizational skills, and a deep understanding of veterinary practice management.


Job Responsibilities


Human Resources:



  • The supervisory duties of this position will focus on the other employees and contract staff. 

  • Assisting in the supervision of the clinical veterinary team and other supporting staff with the assistance of the CEO

  • Performance management and performance review conversations for all staff under their purview

  • Assist in performance management and performance review of the clinical veterinary team.

  • Hiring of technical staff, clinical veterinarians, and support staff

  • Support and back up the Operations Manager and Client Liaison Manager where available, with respect to staffing, vacancy management, leave management, etc or in the absence of the above manage the duties. 

  • Assist with identifying vacancies and staffing needs in the veterinary clinic and  to proactively optimize staffing levels for the various services within the organization 

  • Provide advice and guidance with respect to personnel matters including mediate

  • personnel issues, assist CEO with complaints/concerns, evaluating processes, and facilitating changes and improvements

  • Maintain compliance with veterinary practice policies/procedures and the collective agreements as they directly relate to accurate management of HR, including following through with disciplinary procedures.


Business Process & Financial Management



  • Part of this role is to provide support on business process and financial management, and this individual, is a point person for matters in the veterinary practice pertaining to business processes and financial management including:

  • Provide administrative support to the CEO  by monitoring and assisting in the efficient operation and management of the financial resources of the veterinary practice 

  • Prepare financial statements and reports, including the preparation of quarterly and annual business reports, accreditation reports, etc.

  • Assist in monitoring and forecasting organizational revenue and expenditures

  • Review statistical reports on the organization overall and its units to help assess expenditures and revenue

  • Ensure compliance with all purchasing policies and handle all procurement  tendering process. 

  • Assist and participate in the budget management process

  • Assist in the development of fee structures and bundle package pricing within the organization 

  • Assist in the routine review and updating of fees and ensure that fees are current and updated in the computer-based billing system for all services

  • Assist IT/Process Manager with,  or where not available handle the financial aspects of inventory management


Operations Management



  • Participate in strategic planning and policy development as it pertains to the organization 

  • Assist, support, and participate as a member of the organization administration team

  • Promote and enable the delivery of high-quality client service among organization and staff

  • Participate in routine service and staff meetings and facilitate process change and improvements

  • Work in close collaboration with the CEO and other members of organization’s administration

  • Participate in the on-call schedule for after-hours management of the bet practice Primary Emergency Clinic and Evening Support

  • Provide reports and analytics on the revenue, expenditures, and projections associated with the organization 

  • Work with Client Liaison Manager and the External Engagement Officer where available/work  efficiently in maintaining a communications strategy and referral relationships

  • Assist with contract management for the participating clinic partners 


Support the evening transition period in the hospital to:



  • Ensure optimal staffing and fill staffing vacancies

  • Respond to client and referring veterinarian concerns

  • Provide oversight within the hospital (front desk, ICU, and emergency services partner service providers) to ensure the day and evening operations are optimized

  • Work with CEO on facility and operational needs

  • Work as a  Client Liaison Manager and efficiently address client services needs

  • Work with the IT /software team on optimizing systems and processes for seemless day clinic operations and primary emergency clinic users during  the after-hours time frame


Qualifications and requirements:


Skills required:



  • Business/management experience ( minimum of 2 year experience)

  • Business related degree and certifications (clinica/ hospital experience -or- the equivalent is an added advantage)

  • Preference given to an individual with experience in veterinary practice management

  • Preference given to an individual with experience in managing people

  • Strong organizational skills and ability to effectively manage multiple priorities

  • Strong analytical and problem-solving skills

  • Detailed knowledge of and experience in working with computerized accounting systems or electronic medical records systems, spreadsheets, and database software

  • Excellent interpersonal and communication skills – verbal and written

  • Additional skills training in communications, marketing, or business administration an asset

  • Experience within a unionized environment would be an asset but not a must.

  • Excellent communication and social media skills. 

  • Can perform with minimal or NO supervision 

  • Hard working, resourceful, pro-active and ready to learn and improve on the job.

  • Experience uploading content to various social media platforms

  • Email management

  • Task management or project management

  • Online research

  • Graphic design or branding for social media and websites is a great plus

  • Creative writing for blogs, email automation, lead generation, and social media
