QUALIFICATION:
- Bachelor's degree in a relevant field or equivalent experience
- Other professional certifications (optional)
EXPERIENCE:
- Previous experience in a similar Executive Assistant role
- Knowledge/experience in the oil and gas industry will be an added advantage.
- Proficient in Microsoft Office Suite and with various office equipment (i.e., printers, scanners, etc.)
Key Responsibilities
- Manage the Managing Director's complex calendar, including scheduling and coordinating internal and external meetings, travel, and events.
- Answer and direct all calls, visitors, and emails to the Managing Director.
- Handle confidential correspondence, ensuring the highest levels of discretion and professionalism, and respond to requests from internal and external stakeholders.
- Coordinate travel, lodging, and transportation for the Managing Director, including preparing detailed itineraries, managing logistics, and making all necessary arrangements.
- Prepare and compile reports, presentations, and various other documents for review by the Managing Director, ensuring accuracy and completeness.
- Organize and maintain records, files, and databases using the appropriate software.
- Anticipate the Managing Director's needs, including preparing materials, arranging meetings and documentation, and supporting the Managing Director in various administrative duties.
- Act as a liaison between the Managing Director and internal and external stakeholders, including customers, clients, and investors.
- Manage special projects and other assignments as needed by the Managing Director.
- Managing information flow in a timely and accurate manner
- Error-free memos and letters and paying attention to details
- Ability to determine when to make decisions on behalf of the MD and when to get her involved
- To provide comprehensive support and assistance to the Managing Director in the discharge of her duties
- To ensure that the Managing Director’s decisions and instructions are properly carried out and communicated to the appropriate levels
- Write and prepare memos, letters, and miscellaneous correspondence, exercise judgment, act decisively, and maintain confidentiality
- Uses broad knowledge of the company’s policies, and operations to proactively prioritize, plan, and schedule activities with other executives, key personnel, and outside business contacts.
- Co-ordinate conference and travel arrangements, prepare itineraries and expense reports, and accompany MD when requested.
- Responsible for filing any/all confidential documentation on behalf of the MD
- Manage the Managing Director’s clientele list and follow up when necessary to close out on transactions.
- Any ad-hoc duties as required by the Managing Director.
