Position Overview:


The Executive Assistant will provide high-level administrative support to senior executives, ensuring the smooth functioning of day-to-day operations. The role requires exceptional organizational skills, the ability to handle confidential information, and proactive problem-solving capabilities. You will act as the first point of contact for internal and external stakeholders and play a key role in managing communication, schedules, and project coordination.


 


Key Responsibilities:



  • Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.

  • Serve as the gatekeeper for executives, managing communications and prioritizing requests.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Coordinate and organize internal and external meetings, including preparing agendas and materials, and taking minutes.

  • Assist in the preparation of budgets, expense reports, and financial documents.

  • Liaise with various departments, clients, and external partners on behalf of the executives.

  • Conduct research, gather data, and compile reports to assist with decision-making.

  • Handle confidential information with discretion and ensure data security protocols are maintained.

  • Manage special projects and initiatives as assigned by executives, ensuring timely completion.

  • Coordinate logistics for executive travel and events, including itineraries, accommodations, and transportation.


Qualifications:



  • Minimum of 2 years experience as an Executive Assistant or in a similar role supporting senior leadership.

  • Strong organizational and multitasking skills with the ability to prioritize in a fast-paced environment.

  • Excellent written and verbal communication skills.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.

  • Ability to maintain confidentiality and manage sensitive information.

  • Strong problem-solving skills and attention to detail.

  • Ability to work independently and as part of a team, demonstrating initiative and flexibility.

  • Experience in defense, manufacturing, or related industries is a plus but not required.
