Job Description
Position Summary:
The Executive Secretary will provide comprehensive administrative support to the Business Head of the Asia Pacific region. This role requires a proactive, organised, and detail-oriented professional who can manage multiple tasks, maintain confidentiality, and facilitate effective communication within the team and across departments.
Key Responsibilities:
- Administrative Support:
- Manage the Business Head’s calendar, scheduling appointments, meetings, and travel arrangements.
- Prepare and organise documents, reports, and presentations for meetings and conferences.
- Handle correspondence, including emails, memos, and other communications.
- Meeting Coordination:
- Coordinate logistics for meetings, including venue selection, catering, and technology setup.
- Take minutes during meetings and follow up on action items and deadlines.
- Communication Liaison:
- Serve as the primary point of contact between the Business Head and internal/external stakeholders.
- Facilitate effective communication by conveying messages accurately and promptly.
- Project Support:
- Assist in the management of special projects and initiatives, ensuring deadlines are met.
- Conduct research and compile data as needed to support decision-making.
- Confidentiality and Compliance:
- Maintain confidentiality of sensitive information and ensure compliance with company policies and procedures.
- Handle confidential files and documentation with discretion.
- Office Management:
- Oversee office supplies and equipment, ensuring everything is maintained and available for use.
- Assist in creating and implementing efficient office processes.
7. Travel:
- Open to world-wide travel and assist the Business Head in meetings and implementation of desired plans to ensure desired goals.
Qualifications:
- Education: Bachelor’s degree in Business Administration / Management, or a related field preferred though the same is not a constraint for the deserving candidate.
- Experience: Minimum 5 years of experience as an executive secretary or in a similar administrative role, preferably in a multinational company, ready to learn, hungry for success and goal-getter who don’t carry baggages.
Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- High attention to detail and accuracy.
- Ability to work independently and collaboratively in a fast-paced environment.
