Job Description
Job Objective:
- The Special Assistant will be solely responsible for administrative duties such as Scheduling, calendar management, time accounting, travel support (reservations, preparation material, vouchers), correspondence control, communications management (telephone and e-mail), preparation of meeting agendas, suspense and action tracking, preparation of briefings, media engagement, public affairs coordination etc.
Key Responsibilities
- Special Assistant to the DG/EC
- Support the Director General/Executive Chairman with executive assistance, and strategic relationship management
- Provide executive-level administrative support, including managing and participating in the Director General/Executive Chairman’s special commitments & external engagements, scheduling meetings, and coordinating travel arrangements
- Participate in executive level meetings with the DG/EC and support the DG/EC to build, maintain and maximise strategic networks.
- Prepare materials, minutes and action points from special meetings and strategic networking sessions attended by the Executive Chairman
- Follow through on actions and matters arising from the DG/EC’s strategic engagements.
- Manage confidential and sensitive information with the utmost discretion.
Requirements
- First degree in any relevant field of study from a reputable institution.
- 5+ years cognate experience as a military executive assistant to a top-ranking military executive is preferred
- Hands on experience is providing core administrative support
- Excellence communication skills (verbal and written)
- Good understanding of protocol management
- Must be able to stand in for the DG in meetings and critical functions.
