Position Overview:
Our client is seeking a highly motivated and experienced proactive Personal Assistant to support both professional and personal tasks. This role will involve administrative duties and handling personal errands to ensure smooth day-to-day operations. The ideal candidate will be resourceful, efficient, and able to manage multiple tasks with a high degree of accuracy and confidentiality.
Responsibilities:
- Manage calendars, appointments, and meetings, ensuring effective time management.
- Coordinate travel arrangements, including booking flights, accommodation, and itineraries.
- Prepare and edit documents, reports, and presentations as required.
- Handle office communications, including answering phone calls, responding to emails, and drafting correspondence.
- Maintain and organize confidential files and records.
- Handle various personal tasks as requested, ensuring discretion and efficiency.
- Prioritize tasks and handle multiple projects with tight deadlines.
- Ensure all action items are tracked, followed up on, and completed in a timely manner.
- Act as a gatekeeper, managing incoming requests and determining urgency.
- Assist in any ad hoc projects or tasks that may arise.
- Handle minor financial tasks such as paying bills and managing expenses.
Requirements:
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with a high level of confidentiality.
- Flexibility to work outside standard business hours, when necessary.
