  • The Administrative Assistant / PA is responsible for providing personalized secretarial support, handling various administrative, logistical and personal tasks in a well-organized and timely manner.



Responsibilities




  • Administrative Support - Managing calendars and scheduling meetings and appointments

  • Task and Time Management - Prioritizing and managing multiple tasks to ensure deadlines are met.

  • Attend meetings and taking minutes

  • Following up on action points from meetings.

  • Communication Management - Drafting, Typing and editing correspondences

  • Handling personal tasks like making reservations, running errand, logistics.

  • Sourcing Office supplies

  • Devising and Maintain office filing system.

  • Making travel arrangements and itineraries on behalf of line manager.

  • Conducting/Preparing research as requested.

  • Prepare communications on behalf of the line manager.

  • Handling confidential information

  • Any other duties that may be assigned by the line manager



Qualification, Experience, Skills & Competences



Education and Work Experience:




  • First degree (Bachelor) in Secretarial Studies, English or any other related discipline

  • Relevant professional qualifications

  • Minimum of three (3) years’ relevant experience.



Competences and Skills:




  • Excellent verbal and written communication skills

  • Ability to multi-task

  • Accurate reporting and planning skills

  • Ability to proofread documents to a high standard

  • Fast and accurate typing skills

  • Proficiency in MS Office suite

  • Excellent record keeping and file management skills.
