Job Description







  • The Admin Executive will oversee all administrative functions to ensure smooth operations within the organization while also providing personal assistant support to the Managing Director (MD).

  • The ideal candidate must be highly organized, able to manage multiple tasks simultaneously, and possess excellent planning, execution, and time management skills.

  • This role requires a proactive and experienced professional who can maintain confidentiality, communicate effectively, and support the MD’s daily and strategic needs.



DUTIES AND RESPONSIBILITIES:



Administrative Management:




  • Oversee general office administration to ensure smooth daily operations.

  • Maintain effective filing systems (digital and physical) and ensure documentation is up-to-date and easily accessible.

  • Manage office supplies, equipment, and service providers to ensure efficiency and cost-effectiveness.

  • Coordinate office logistics, including travel arrangements, accommodation bookings, and event planning for meetings or corporate events.

  • Handle incoming and outgoing communications, including phone calls, emails, and correspondence, ensuring timely and accurate responses.



Personal Assistant Duties:




  • Provide comprehensive personal assistance to the MD, including managing the

  • MD’s calendar, scheduling meetings, and organizing travel plans.

  • Assist in preparing materials for meetings, presentations, and reports as required by the MD.

  • Handle confidential matters with discretion, ensuring sensitive information is protected.

  • Act as a liaison between the MD and internal/external stakeholders, ensuring efficient communication and follow-up on key actions.

  • Support the MD in managing key projects by monitoring deadlines, tracking progress, and coordinating with relevant teams.

  • Assist in organizing and executing key initiatives that support the MD’s business objectives.



Meeting Coordination:




  • Schedule, organize, and prepare for internal and external meetings, including taking minutes, preparing agendas, and following up on action items.

  • Manage virtual and in-person meeting logistics to ensure successful execution.
