Job Summary
- The Executive Secretary provides high-level administrative support to executives, ensuring smooth daily operations and effective communication.
- This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative Support:
- Manage executives’ schedules, including meetings, appointments, and travel arrangements.
- Prepare, edit, and distribute correspondence, reports, and presentations.
- Maintain confidential records and filing systems.
Communication Management:
- Serve as the primary point of contact for internal and external stakeholders.
- Screen and prioritize emails, calls, and messages for the executive.
- Draft and proofread communications on behalf of the executive.
Meeting Coordination:
- Organize and prepare for meetings, including agenda creation and material distribution.
- Record minutes and follow up on action items.
Project Assistance:
- Assist with planning and execution of special projects and events.
- Conduct research and provide data analysis as needed.
Office Management:
- Oversee office supplies, equipment maintenance, and vendor relations.
- Monitor budgets and expense reports.
Qualifications
- Bachelor’s Degree in Business Administration, Management, or a related field (preferred).
- 3 - 5 years of experience as an executive assistant or in a similar role.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Discretion and ability to handle sensitive information.
- Proactive and resourceful problem-solver.
- Professional demeanor and strong interpersonal skills.
- High level of attention to detail and accuracy.
- Minimum age of 25years
- Must reside within V.I and its environs.
