Job Description
Objective/ Purpose
- The job holder will manage activities related ISO9000- QMS by coordinating with all HOD. Also to assist and provide administrative support to General Manager in day-to-day activities.
Job Duties/Responsibilities/ Accountabilities
As a QMS Coordinator:
- Maintain and improve the QMS, ensuring compliance with ISO 9001:2015 requirements.
- Coordinate internal audits, management review meetings, and corrective action processes.
- Implement, and maintain QMS documentation (policies, procedures, work instructions).
- Assist to Conduct training sessions for employees on QMS policies, procedures, and requirements.
- Assist to Monitor and analyze QMS performance metrics.
- Liaise with external auditors, regulatory bodies, and certification agencies.
- Ensure timely closure of audit findings, non-conformities, and corrective actions.
- Manage and maintain QMS records, documents, and databases.
- Collaborate with departments to ensure QMS integration and alignment.
- Participate in continuous improvement initiatives.
As a Personal Assistant to GM
- Manage & Coordinate the General Manager's scheduled meetings.
- Prepare agendas, minutes, and action items for meetings.
- Prepare and distribute correspondence, reports, and presentations.
- Develop and maintain filing systems, both physical and digital.
- Provide general administrative support to the General Manager.
- Assist in communicating to other HOD.
- Ensure compliance with company policies and procedures.

Requirements
Education Qualification:
- Minimum bachelor’s degree in a relevant field (e.g., quality management, business administration).
Professional Qualification:
- ISO 9001:2015 certification or equivalent (e.g., Lead Auditor, Internal Auditor).
Functional/ Technical:
- Strong knowledge of ISO 9001:2015 standards, requirements, and guidelines.
- Proficient in document management.
Behavioural:
- Excellent interpersonal skills, writing skills, communication and presentation skills including the ability to effectively communicate cross-functionally with senior levels of management.
- Excellent management skills, with ability to track multiple level of grievance, and handle the pressure in a positive manner.
- Equal parts in being analytical and creative.
- Experience working with colleagues and associates locally and internationally.
