Key Responsibilities



Client Relations:




  • Welcome clients and visitors warmly, providing them with the necessary assistance.

  • Address client inquiries and resolve complaints professionally.



Administrative Duties:




  • Manage phone calls, emails, and other correspondence efficiently.

  • Maintain and update company records, ensuring confidentiality.

  • Schedule meetings and appointments for team members.



Invoice Management:




  • Create and send invoices to clients promptly.

  • Follow up on payments and keep financial records organized.



Liaison Tasks:




  • Collaborate with the production team to ensure jobs are executed effectively and on schedule.

  • Communicate with clients regarding project updates and timelines.



Office Organization:




  • Ensure the front desk area is neat and welcoming.

  • Oversee the management of office supplies and inventory.



Team Support:




  • Assist other departments with administrative tasks when required.

  • Support company events and initiatives.



Requirements




  • Minimum qualification: B.Sc Degree or equivalent.

  • Previous experience in front desk or administrative roles is an advantage.

  • Excellent communication and interpersonal skills.

  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint).

  • Ability to multitask and prioritize tasks effectively.
