- We are seeking a highly organized, efficient, and proactive Personal Assistant to provide administrative and personal support to the CEO.
- The ideal candidate will be resourceful, detail-oriented, and able to manage a variety of tasks effectively while maintaining discretion and confidentiality.
- As a Personal Assistant, you will be responsible for streamlining day-to-day operations and ensuring smooth coordination of both professional and personal activities.
Key Responsibilities
Administrative Support:
- Manage and organize executive’s calendar, appointments, and meetings.
- Coordinate travel arrangements, including flight bookings, accommodation, and transportation.
- Prepare and manage correspondence, reports, and documents.
- Handle incoming calls and emails, prioritizing urgent matters and responding on behalf of the executive when necessary.
- Maintain accurate filing systems and manage important documents.
Event Coordination:
- Assist with organizing and coordinating business and personal events, including meetings, conferences, and social functions.
- Ensure all logistics are in place for meetings, including materials, technology, and refreshments.
Personal Tasks:
- Provide support with personal errands, shopping, and other tasks as needed.
- Manage personal appointments and ensure efficient scheduling.
Project Management:
- Assist with the planning and execution of various projects as directed by the executive.
- Track deadlines and help prioritize tasks to ensure goals are met in a timely manner.
Confidentiality:
- Handle sensitive information with discretion and confidentiality, maintaining professionalism at all times.
Communication:
- Act as a liaison between the executive and other departments or stakeholders, ensuring smooth communication.
- Draft emails, memos, and other communication on behalf of the executive.
Qualifications
- Proven experience as a Personal Assistant or in a similar administrative role.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency with office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and anticipate the needs of the executive.
- Flexibility and adaptability to changing priorities.
Preferred Qualifications:
- Experience in a corporate or executive setting.
- Knowledge of office management systems and procedures.
- Ability to prioritize and manage a heavy workload in a fast-paced environment.
