We are looking for an experienced secretary to primarilymanage administrative tasks like answering phone calls, scheduling appointments, managing correspondence, preparing reports, organizing meetings, and maintaining filing systems, all while ensuring smooth communication within the department and with external stakeholders, often with a focus on confidentiality due to the sensitive nature of industry information.
Job Responsibilies
Managing calendars and scheduling meetings, including coordinating with multiple parties.
Preparing and distributing meeting agendas and minutes.
Handling incoming and outgoing mail and correspondence.
Maintaining filing systems and records management.
Drafting and typing professional emails and letters.
Taking accurate messages and ensuring timely delivery.
Coordinating communication between different departments and external contacts.
Managing travel expense reports.
Assisting with project documentation and report preparation.
Tracking project timelines and deadlines.
Maintaining office supplies and ordering replacements.
Managing office equipment and coordinating maintenance.
Job Requirements
BSc / HND in Secretarial Studies, Business Administration or in a related relevant field with a minimum of 3 years experience.
Excellent verbal and written communication to effectively interact with various levels of staff and external contacts.
Ability to prioritize tasks, manages multiple projects simultaneously, and meets deadlines.
Ensuring accuracy in all administrative tasks and documents.
Maintaining discretion when handling sensitive information related to oil and gas operations.
Expertise in Word, Excel, Outlook, and PowerPoint.
Prior administrative experience in a professional office setting, ideally within the oil and gas industry.
Understanding of basic oil and gas terminology is beneficial.
