Job Description
Job Summary:
- The Sales Admin is responsible for providing administrative support to the automobile sales team, ensuring the smooth execution of sales processes, maintaining accurate records, and facilitating communication between departments.
- This role involves handling documentation, coordinating customer transactions, and assisting in the preparation of sales reports.
- The ideal candidate should possess strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.
Key Responsibilities:
Administrative Support
- Assist the sales team with day-to-day administrative tasks and operational activities.
- Prepare, manage, and maintain sales documentation, including invoices, contracts, and delivery notes.
- Ensure proper filing and record-keeping of all customer and sales-related documents.
- Coordinate the scheduling of customer appointments, test drives, and vehicle deliveries.
Sales Coordination
- Liaise between the sales team, logistics, and finance departments to ensure smooth order processing.
- Ensure accurate data entry of sales information into internal systems and databases.
- Track and monitor vehicle inventory levels, sales orders, and delivery timelines.
- Process and follow up on customer orders, ensuring timely completion and customer satisfaction.
Customer Service Support
- Respond to customer inquiries, provide product information, and support the post-sale process.
- Manage customer records and ensure all customer information is accurate and up-to-date.
- Address and resolve basic customer concerns, escalating more complex issues when necessary.
Compliance & Process Management
- Ensure all sales processes comply with company policies and regulatory guidelines.
- Verify the accuracy of sales documentation and ensure proper authorization is obtained.
- Maintain confidentiality of sensitive customer and business information.
Requirements
- Bachelor’s degree in Business Administration, Marketing, or a related field.
- 1–3 years of experience in sales administration, preferably in the automobile industry.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software.
- Excellent communication and interpersonal skills.
- Knowledge of automobile sales processes, vehicle financing, and industry trends is a plus.
- Ability to work efficiently in a fast-paced, target-driven environment.
