Manage all project documentation, including engineering/technical, correspondence, project management, commercial, and legal records generated by the company, clients, and subcontractors.
Maintain and enforce document control processes, procedures, and specifications to ensure accurate records of all official project documentation.
Ensure the proper registration, categorization, and filing of incoming and outgoing documents.
Regularly update and maintain document tracking logs.
Perform quality control checks to ensure documents comply with the company and client standards, as well as project management systems.
Maintain a structured and accessible file system for all project documents.
Expedite and monitor the status of document reviews conducted internally and externally by the project team.
Act as the primary point of contact for document control inquiries.
Resolve discrepancies in documentation and ensure data accuracy across systems.
Develop and maintain a secure electronic tendering and contract document management system for project use.
Manage access permissions for internal and external project team members to ensure the confidentiality and security of sensitive information.
Collaborate with the Project Management team to evaluate and modify document control processes for project specific needs.
Provide technical support and troubleshooting for the electronic document management system.
Conduct audits and generate periodic reports to ensure compliance with document control procedures and data integrity.
Promote adherence to all safety and compliance standards within document management processes.
Requirements
Bachelor's Degree / HND in relevant discipline
2 - 5 years minimum experience, preferably in the oil and gas industry
ISO 9001 (QMS Internal Auditor), PMP or Prince.
Ensure control of records and documents for traceability and irretrievability in line with ISO 9001:2008 QMS requirements.
Excellent analytical skill.
Self-starter, results-driven and focussed on delivery of quality deliverables on time and within budget.
Ability to manage large volumes of documentation efficiently.
Familiarity with industry-specific documentation standards and processes.
Strong ability to work under pressure and meet tight deadlines.
High level of confidentiality and professionalism.
