What You Will Be Doing:
Executive Assistance
- Efficiently manage the COO's calendar, scheduling meetings, and appointments, and ensuring effective time management.
- Act as a primary point of contact between the COO and internal/external stakeholders, ensuring clear and timely communication.
- Handle email correspondence, filter inquiries, and draft responses on behalf of the COO.
- Ensure all meetings are well-prepared, including pre-reads, documentation, and follow-ups.
Personal Assistance
- Handle personal tasks such as booking appointments, coordinating household needs, managing personal staff, and arranging personal events.
- Assist with personal errands such as purchasing gifts, attending events, handling deliveries, and any additional personal support as required.
Business Operations & Reporting
- Work closely with reporting teams to track key business metrics, identify blockers, and provide actionable insights.
- Assist in preparing investor reports, client presentations, and board meeting materials.
- Condense long-form documents into executive summaries and highlight critical action points.
- Develop a strong understanding of Bamboo’s priorities to support the COO effectively.
- Conduct stock market research and portfolio analysis, providing insights for decision-making.
- Manage board meeting preparation, including compiling board packs and ensuring smooth coordination.
Research & Special Projects
- Conduct in-depth research on various topics, including market trends, competitor analysis, and industry developments.
- Support side projects with research, grant applications, market studies, and stakeholder engagement.
- Assist in the execution of strategic initiatives driven by the COO.
- Conduct thorough research on various topics as assigned by the COO, providing comprehensive reports and summaries.
Travel & Expense Management
- Arrange comprehensive travel itineraries, accommodations, and logistics for the COO.
- Optimize travel efficiency and ensure smooth transitions between engagements.
- Track and process expense reports promptly and accurately, utilizing Excel for basic spreadsheet tasks.
Foundation & Philanthropic Work
- Oversee the COO’s foundation, including managing payments, setting up curriculums, and tracking progress.
- Ensure the efficient management of charitable contributions, partnerships, and related administrative tasks.
- Manage payments related to philanthropy, track milestones, and provide regular reports on foundation activities.
Support content creation and social media management
- Assist the COO in creating and posting social media content for work related to Bamboo. This includes coordinating with the COO & the Marketing team for recording and ensuring timely uploads. Prior experience managing social media is not required, but familiarity with platforms like Instagram and TikTok and their features is a plus.
Administrative Excellence & Process Improvement
- Maintain databases, update records, and improve internal processes for efficiency.
- Utilize Excel and other tools to create presentations, reports, and data-driven insights.
- Handle standard EA responsibilities, including vendor liaison and office management support
- Prepare, edit, and format reports, presentations, and other documents with a high level of accuracy and attention to detail.
- Assist in basic data entry tasks and provide rudimentary Excel support for simple spreadsheets and data analysis.
- Handle sensitive information with the utmost discretion and maintain confidentiality in all aspects of the role.
