Job Description






Our client, a digital freight forwarder and customs broker for Africa, is looking for an Executive Assistant who will work directly with the CEO on different areas and interface with different parts of the business, including new & special projects. This role is a mix of Executive Assistant and Founder Associate and will involve a lot of planning, documenting, and organizing.



The ideal candidate needs to have passion for tech, engineering and logic. Speed defines most things we do, and you need to be able to catch details and follow up on things and get answers to tasks where everyday people slack.  



Responsibilities



Administrative Support




  • Provide high-level administrative assistance to the MD by managing calendars, scheduling meetings, and organizing travel arrangements.

  • Draft, edit, and proofread correspondence, reports, presentations, and other documents as required.

  • Prioritizing tasks and ensuring deadlines are met.



Calendar & Schedule Management




  • Coordinate complex schedules involving internal teams, external stakeholders, and cross-functional departments.

  • Proactively identify scheduling conflicts and resolve them promptly.

  • Manage meeting agendas and take minutes during key meetings to ensure follow-up actions are tracked and completed.



Communication Liaison




  • Serve as the primary point of contact between the MD and internal/external stakeholders, ensuring effective communication channels are maintained.

  • Screen and prioritize emails, calls, and other forms of communication on behalf of the MD.



Qualifications




  • Bachelor’s degree in English, Business Administration or related field.

  • Minimum of 5 years' experience as an Executive Assistant, Founder Associate, or in a similar administrative role supporting senior executives

  • Experience with work tools like Docs, Excel, Notion, and Slack, and can figure out new tools, and even decide what should be used.

  • Strong with researching, and very competent in writing and documentation.

  • Strong interpersonal skills with the ability to build relationships across all levels of the organization.

  • Proactive problem-solving abilities with a focus on delivering results.

  • Operationally focused, pay attention to details, and can ruthlessly prioritize.

  • Ability to multitask effectively while prioritizing competing demands.
