Responsibilities

Visitors Reception:




  • Serves visitors by greeting, welcoming, and directing them appropriately;

  • Notifies company personnel of visitor arrival;

  • Maintains security and telecommunications system.



Call Management:




  • Ensure that incoming calls are answered promptly;

  • Ensure that reception area is manned at all times during working hours;

  • Records every call (official calls) that comes in, in the absence of any personnel concerned;

  • Records every call (outgoing) and the caller’s name;

  • Ensure proper functioning of the PABX at all times.



Reception Area Management:




  • Ensure cleanliness of the reception;

  • Managing the front office;

  • Visitor/customer management;

  • Mail management and procedural support;

  • Carry out any other jobs as may be assigned.



Personal Assistant to MD:




  • Provide support to MD on administrative tasks

  • Coordinate and prioritize MD’s schedule and activities to ensure optimal use of time

  • Plan, organize travel itinerary and flights, accommodation and transportation.

  • Ensure MD’s office is clean and organize at all times.



Requirements




  • Candidates should possess a Bachelor's Degree in relevant fields with 2 - 3 years work experience.
