We are looking to hire a secretary to the MD, for our client, a real estate development, brokerage, and management firm. The candidate is tasked with providing personal and administrative support to the MD through conducting, organizing administrative duties/activities, receiving and handling information with a high level of professionalism and confidence.


ESSENTIAL JOB REQUIREMENTS



  • Manage the daily/weekly / monthly agenda and arrange meetings, appointments, board meetings, conferences, etc.

  • Provides high-level administrative support and assistance to the Managing Director.

  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.

  • Attend meetings and keep minutes.

  • Handle and prioritize all outgoing or incoming correspondence (email, letters, packages, etc)

  • Handle confidential documents ensuring they remain secure.

  • Maintain electronic and paper records ensuring information is organized and easily accessible – maintain a filing system.

  • Conduct research and prepare presentations or reports as assigned

  • Support and facilitate the completion of regular reports

  • Document expenses and hand in reports

  • Other cordination job assigned


ESSENTIAL JOB REQUIREMENTS



  • Minimum of a first degree (B.Sc / HND) in any discipline from a reputable university

  • Minimum of 2 Years of experience working experience

  • Good written and spoken communication skills.

  • Accuracy and attention to detail.

  • Calm and composed.

  • Excellent administration and computer skills.

  • Flexible and adaptable approach to work.

  • Tact and discretion in dealing with confidential information.

  • Knowledge of the latest Microsoft software

  • Excellent time management skills with a proven ability to meet deadlines.

  • Outstanding organizational and time management skills

  • Acquaintance with office management systems and procedures
