JOB DESCRIPTION




  • Sustenance of the Integrated Management System in the company by ensuring that all QMS processes are established, implemented, and maintained.

  • Assists in the ISO 9001,14001 & 45001 certification maintenance program.

  • Managing Clients contracts, relationships and annually reviewing current company client base by keeping proper client details & profiles, reconciliations, retention records.

  • Coordinating and managing internal and external ISO audits.

  • Developing and maintaining ISO documentation and procedures.

  • Conducting employee ISO training and quality audits.

  • Reporting and recommending corrective actions for any ISO issues.

  • Identify potential issues with documentation and provide timely solutions (close out where necessary).

  • Typing, Binding and proper filling of Documents (Hard & Soft copies).

  • Ability to Schedule meetings and manage calendars.

  • Answer phone calls and take messages.

  • Draft correspondence such as emails and letters.

  • Prepare minutes of meetings.

  • Following up and provide administrative support on bidding for new projects.

  • Managing highly confidential information in accordance with the company policy, processes and procedures.

  • Liaising with various departments, such as account, store and technical department to achieve goals on time delivery of projects/materials.

  • Prepare certificate of completion on the completed project.



SKILLS




  • Knowledge of ISO Processes, procedures, practices and documentations will be a major added advantage that will be highly considered. 

  • A self-starter, capable of acting on own initiative and proactively managing competing demands, pressures and able to multi-task effectively.

  • Must be able to work collaboratively, with a range of colleagues in the wider organization, as well as with external stakeholders.

  • Excellent interpersonal, diplomatic, oral communication skills

  • Good level of numeracy and ability to analyse statistical and financial data.

  • Confidence in working with senior internal and external stakeholders at director and trustee level.

  • Well placed sense of judgment and political skills, able to exercise absolute discretion and confidentiality

  • Evidence of an ability to “think outside the box” and generate and implement creative solutions

  • To be able to work with versatility, meeting unexpected, very tight deadlines on occasion, being able to priorities as required and able to work autonomously.



QUALIFICATIONS




  • OND, HND, B.Sc. in Business or Public Administration, Social sciences & Secretariat studies. 

  • MBA is a plus.
