Job Description
Job Purpose:
The job holder will oversee the overall administrative operations of the organization to ensure efficiency, compliance, and cost-effectiveness. This role involves planning, coordinating, and supervising all administrative support services including facilities management, procurement, travel logistics, fleet management, office services, records management, and vendor relationships.
RESPONSIBILITIES AND ACCOUNTABILITIES
- Develop and implement administrative policies, procedures, and systems that enhance operational efficiency and align with organizational goals.
- Lead and supervise the entire administrative team, including facility supervisors and all other support staff.
- Oversee contracts and service level agreements with facility service providers (e.g., security, janitorial, maintenance).
- Manage the procurement process of office supplies, ensuring transparency, value for money, and adherence to procurement policies.
- Evaluate, select, and manage relationships with vendors and service providers for supplies, office equipment, and outsourced services.
- Conduct periodic vendor performance reviews and renegotiation of terms where necessary.
- Oversee the management of company vehicles and drivers, ensuring safety, regulatory compliance, and vehicle maintenance.
- Coordinate all official travel arrangements (local and international), including ticketing, accommodation, visa processing, and transport logistics.
- Ensure efficient document and records management systems (both physical and digital).
- Develop and enforce business continuity plans and emergency response protocols for facilities and administrative functions.
- Identify administrative risks and implement mitigation strategies.
- Foster a high-performance culture within the admin team, ensuring accountability and professional growth.
- Lead periodic training programs on administrative processes and compliance.
SKILLS AND QUALIFICATION REQUIREMENTS
- Bachelor’s degree in Business Administration, Public Administration, or any social science course - a master’s degree will be an added advantage.
- Minimum of ten (10) years of relevant experience in Administrative operations, preferably in an Oil and Gas or a related organization, with at least three (3) years in a managerial/leadership capacity.
- Proven experience managing administrative operations in a multi-site or complex organization.
- Strong background in procurement, facilities management, fleet operations, and logistics.
- Professional certifications will be an added advantage.
- Analytical thinking and problem-solving skills
- High proficiency in the Microsoft Office suite.
- Strong negotiation and interpersonal skills.
- Good financial knowledge and high ethical standards.
