Key Responsibilities: 



Executive & Administrative Support 




  • Manage the executive’s calendar, including scheduling internal and external  meetings 

  • Coordinate across teams and external stakeholders to avoid scheduling conflicts 

  • Attend meetings on behalf of the executive when required, take detailed notes, and  track follow-up actions 

  • Prepare briefs, reports, presentations, and meeting agendas 



Project & Event Coordination 




  • Support the planning and execution of key internal and external projects 

  • Organize team events, workshops, offsite meetings, and logistics 

  • Liaise with vendors, stakeholders, and partners to ensure smooth execution 



Finance & Reporting 




  • Collate and organize invoices and documents for audit and compliance purposes 

  • Assist in preparing and filing quarterly investment and progress reports 

  • Maintain confidential files and documentation 



Grant & Program Applications 




  • Research and apply for grants, accelerator programs, and strategic partnerships 

  • Track application timelines, prepare supporting documents, and follow up on  outcomes 



Sales & Client Support 




  • Support light sales coordination including client follow-ups, lead tracking, and CRM updates 

  • Assist with drafting proposals, pitch decks, and email communications to potential partners or clients 

  • Schedule product demos or intro meetings and ensure timely follow-through on sales leads 

  • Monitor inquiries and route them to the appropriate departments when needed 



Communication & Relationship Management 




  • Serve as the executive’s liaison for internal and external stakeholders 

  • Draft professional correspondence and uphold a high level of discretion and confidentiality 

  • Represent the executive with professionalism in all interactions 



Qualifications: 




  • Bachelor’s degree in Business Administration, Communications, Marketing, or related field 

  • Minimum of 2–3 years’ experience in an Executive Assistant role, preferably in a startup or growth-stage company 

  • Demonstrated experience supporting sales, partnerships, or business development teams is a strong advantage 

  • Excellent written and verbal communication skills 

  • Proficiency in Microsoft Office Suite and/or Google Workspace; experience with CRM tools is a plus 

  • Strong multitasking, organizational, and time management abilities 

  • Professional demeanor with a high level of discretion and confidentiality 



Preferred Qualities: 




  • Experience in early-stage companies or executive-level startup environments 

  • Familiarity with event planning, pitch preparation, or investor relations 

  • Ability to think ahead, anticipate needs, and work independently 

  • Prior experience in a sales, partnerships, or client-facing role is a strong plus​
