Job Summary




  • We are seeking a reliable and detail-oriented Personal Assistant to support the Chief Operations Officer (COO) of a fast-paced manufacturing company. 

  • The successful candidate will play a vital role in managing the COO’s administrative and operational responsibilities, coordinating across departments, and ensuring seamless execution of daily tasks. 

  • This position requires a high level of professionalism, discretion, and a solid understanding of manufacturing operations.



Key Responsibilities




  • Maintain and manage the COO’s daily schedule, including meetings, site visits, and travel plans.

  • Coordinate and prepare reports, presentations, production data, and operational updates for internal and external meetings.

  • Serve as a liaison between the COO and other departments, plant managers, vendors, and clients.

  • Attend meetings, take minutes, and track action points to ensure timely execution.

  • Assist in monitoring production schedules, operational KPIs, and project timelines.

  • Handle confidential business documents, emails, and correspondences.

  • Prepare agendas, briefing materials, and follow-ups for executive and departmental meetings.

  • Manage and reconcile expense reports, requisitions, and budgets related to the COO’s office.

  • Provide administrative and logistical support for factory audits, quality control visits, and vendor meetings.

  • Conduct research and compile data relevant to manufacturing operations, compliance, and process improvement.



Requirements & Qualifications




  • Bachelor’s degree in Business Administration, Industrial Management, or a related field.

  • Minimum of 3 years of experience in a similar role, preferably in a manufacturing or production environment.

  • Strong organizational and multitasking skills, with attention to detail.

  • Excellent communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of ERP systems is a plus.

  • High level of discretion and professionalism in handling sensitive information.

  • Ability to work independently under pressure and meet tight deadlines.

  • Understanding of manufacturing terms, processes, and workflow is an advantage.



Preferred Attributes:




  • Experience supporting C-level executives in a manufacturing or industrial setting.

  • Familiarity with operational metrics such as OEE, downtime reports, and production efficiency.

  • Ability to coordinate with plant and operations personnel.
